Overview The Administrative Secretary plays a key role in supporting executive leadership by efficiently managing communication, scheduling, and organizational tasks. This position is responsible for handling incoming calls, coordinating meetings, maintaining records, and ensuring seamless administrative operations. Success in this role requires strong multitasking abilities, proficiency in office software, and a keen attention to detail in a fast-paced environment. Excellent organizational and communication skills are required to facilitate smooth office operations and executive support. Responsibilities
Assists Executive Assistant in coordination of designated administrative processes.
Serves as receptionist and greeter for CEO office.
Answer and process incoming calls professionally and efficiently.
Schedule and coordinate meetings. Prepare and edit documents including correspondence. Serve as backup for payroll processing as needed.
Maintain and organize files. Manage and coordinate directors’ calendars.
Develop PowerPoint presentations to support meetings and initiatives. Prepare agendas, assemble meeting materials, and take notes as directed.
Qualifications
High school diploma or equivalent required.
College training or Associate’s degree preferred or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired Minimum of three years of secretarial and computer work experience.
Experience in a healthcare office setting helpful, but not essential.
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook (or equivalent). Strong communication skills – both verbal and written – and collaboration skills.
Capable of multitasking in a fast-paced environment.
Ability to take initiative and work independently. Monday-Friday, 8a-5p, with flexibility to cover office requirements.
