Job Description
Solid Waste Administrative Assistant 3.8 3.8 out of 5 stars Nashville, NC General Statement of Duties Performs skilled administrative support work performing a variety of administrative tasks to support the Solid Waste Division. Duties and responsibilities include, but are not limited to, AP/AR, creating requisitions, processing POs, reviewing account balances, preparing the convenience center schedule, preparing payroll, reports, correspondence, filing, and maintenance of records, answering telephones, and performing additional tasks as assigned. involving data entry, Work is performed under supervision of the Solid Waste Manager. Essential Duties and Tasks Creates requisitions and processes PO’s, reviews account balances, prepares budget transfers, processes P-card statements. Receives quotes, invoices, statements from vendors and processes AP. Receives payments from customers and processes AR. Prepare daily cash deposit and scans paperwork into electronic files Prepare quarterly tax documents. Maintains hangtag inventory/database and assists customers with hangtags. Receives phone calls and/or walk-in traffic; assists customers with questions and/or refers to proper personnel. Enter landfill & convenience site statistical data and generates reporting. Maintain work schedule for convenience centers. Processes monthly payroll for the landfill and convenience centers. Submits and tracks departmental request to include vehicle maintenance and facility maintenance. Maintain regulatory documents and ensure timeliness of delivery to appropriate. entities along with keeping signed documents appropriately filed. Provide scale house with coverage & other support as needed. Performs related tasks as required. Knowledges, Skills and Abilities Knowledge of standard operating practices involved in modern office operation and serving the public. Knowledge of the application of information technology to collections and accounts maintenance and general office technology. Skill in conflict resolution and customer service excellence. Ability to deal effectively with the public in a tactful and effective manner. Ability to create and maintain accurate records, reports, and files. Ability to operate calculator, computer terminal, postage machine, cash register, and related office equipment. Ability to establish and maintain effective work relationships. Accuracy in the entry of data and compilation of records. Ability to organize work and meet deadlines.
Communication Skills :
Strong verbal and written communication skills to interact with diverse customers and staff.
Organizational Skills :
Ability to multitask, prioritize tasks, manage time effectively, and maintain attention to detail in a fast-paced environment.
Knowledge :
Basic understanding of waste management or recycling processes is a plus but not required; training will be provided.
Physical Requirements :
Ability to sit for extended periods, occasionally lift up to 20 pounds, and work in an office environment.
Desirable Education and Experience Education :
High school diploma or equivalent required; associate’s degree in business administration or related field preferred;
Experience :
2-3 years of administrative or customer service experience, preferably in a public-facing or operational environment.
Technical Skills :
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database or record-keeping software.
