POSITION DESCRIPTION TITLE
Regional Office Coordinator (New Hanover & Brunswick County)
HOURS & LOCATION
Part Time, 20-25 hours per week
REPORTS TO
Regional Director of Operations
PRIMARY FUNCTION
Under the direction of the Regional Director of Operations, the responsibilities of the Regional Office Coordinator include: clerical tasks, mail distribution, printing and distribution of reports, maintenance of office supplies and par levels, welcoming visitors, answering and transferring phone calls and appropriately delivering messages. Assist with Volunteer Involvement Schedule training for regional program volunteers Update regional training calendars and notifications Manage all sites payroll (bamboo) Communicate regional payroll deadlines to staff Monitor Regional Staff Timesheets and report discrepancies to Regional Administrative Manager Data Management Assist with distribution of program data to appropriate leadership Monitor and update member tracking billing Assist with scheduling regional program calendars Assist with gathering safety data for assessments and reports Daily Responsibilities Assist Regional Administrative Manager with Gym rental partnership Assist with creation of Parent Communications Manage distribution of mail to appropriate locations Manage distribution of messages to appropriate staff Scheduling of regional site tours Maintaining appropriate par levels of all Regional Site supplies and materials Ordering of specific site collateral i.e. staff t-shirts etc. Assist Senior Leadership and Board Members when visiting regional site locations Collaborate with Executive Administrative Assistant on calendar requests of Senior Leaders HR onboarding/training Maintain manuals, handbooks, and safety materials at all regional site locations Oversight of regional onboarding training calendar Monitor required training compliance documentation Schedule BGCA recommended trainings for staff Schedule exit interviews on behalf of Regional Site Leadership
