Customer Relations and Administrative Associate Opus Financial Advisors, Inc. 4421 Manns Chapel Road, Chapel Hill, NC 27516 Position Overview We are seeking a highly organized, detail-oriented, and creative Customer Relations and Administrative Associate to join our team. This dynamic role combines administrative support, marketing initiatives, event planning, and customer service to ensure the smooth operation of our office and the success of our marketing and outreach efforts. The ideal candidate is both approachable & respectful, comfortable with new technology, virtual meeting platforms, and scheduling systems. Key Responsibilities Administrative Support and In-Person Office Coverage Provide executive-level administrative support, including managing calendars, scheduling appointments, and coordinating meetings. Act as the first point of contact for visitors and clients, ensuring a welcoming and professional experience. Screen incoming calls, emails, and correspondence, directing inquiries to the appropriate team members. Maintain organized records, files, and databases, ensuring data accuracy and confidentiality. Oversee office supplies and inventory, managing vendor relationships and procurement. Some personal errands on behalf of the Chief Executive Officer will be needed from time to time. Marketing Coordination Assist in the creation and implementation of marketing campaigns across digital and traditional platforms. Manage social media accounts by creating, scheduling, and sharing engaging content. Collaborate with the team to design promotional materials such as brochures, emails, and advertisements. Monitor and analyze marketing performance metrics, providing regular reports and recommendations. Maintain the company website, ensuring up-to-date and accurate content. Event Planning Plan and coordinate events, meetings, and conferences, including logistics, vendor selection, and on-site coordination. Assist in event promotion through email campaigns, social media outreach, and print materials. Ensure events align with company branding and goals, providing an exceptional experience for attendees. Customer Service Serve as a key point of contact for customer inquiries, resolving concerns, and completing client requests with professionalism and efficiency. Build and maintain positive relationships with clients, partners, and stakeholders. Gather and analyze customer feedback to improve service delivery and customer satisfaction. Qualifications and Skills Bachelor’s degree in business administration, marketing, communications, or a related field (preferred). 2+ years of experience in administrative support, marketing, or a similar role. Experience in the financial industry is desired, but not required. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and marketing tools (e.g., Canva, Mailchimp, HubSpot). Strong organizational and multitasking abilities with exceptional attention to detail. Excellent written and verbal communication skills. Experience with social media platforms and content creation. Ability to prioritize tasks and meet deadlines in a fast-paced environment. Positive attitude, resourcefulness, and a willingness to learn and adapt.
