Primary Purpose of Position:
This Administrative position provides the Administrative Officer at the Museum of the Albemarle support in the management of the museum, and at the discretion of the Administrative Officer, further support to the Museum Site Manager and other museum sections.
Responsibilities involve interpretation of and compliance with all applicable State, Federal, Departmental, Divisional, and professional policies; general clerical duties for all sections in various capacities; answering, greeting, and directing callers to the museum as well as fielding any questions or inquires pertaining to the museum and operations, programs and events, and any regional happenings for other affiliated organizations; social media management; greet visitors to the Administrative Section and directing them to appropriate offices or sections; communicating museum events and program publicity to general public and media contacts. Position reports to the Administrative Officer.
Key Responsibilities include but are not limited to:
Provides support in administrative management of the museum in maintaining optimal performance.
Responsible for assistance to the Administrative Officer and Museum Site Manager in all administrative duties on a day-to-day basis, as well as assistance upon request in other museum sections. Public service duties daily which are but not limited to streamlining and maintaining the museum’s switchboard by answering and directing all incoming calls and inquiries, therefore giving the first impression of the museum to the public.
Prepare and distribute weekly scheduling operations, programming, events, and other vital information, and maintain a monthly calendar to keep all staff informed of other general and administrative information.
Works with Administrative Officer on essential administrative duties such as purchasing and requisitions, publicity bulk mailing, website and social media management, and other tasks as assigned.
Position/Physical Requirements:
Must be able to work Monday – Friday, 8 a.m. – 5 p.m. and some night and weekend hours.
Demonstrated experience communicating clearly and concisely in oral and written form.

Knowledge, Skills and Abilities / Competencies

Qualified candidates must have or be able to:
Demonstrated experience performing a variety of office management tasks (i.e., filing, written communication, creating reports, organizing resources or information). Demonstrated proficiency with Microsoft Office or comparable software program.
Basic knowledge of principles and practices of public administration and/or business administration. Basic knowledge of banking operations, accounting, and/or financial reporting.
Management Prefers:
Experience with website editing, and/or experience with social media postings for a business or professional organization.
Experience with Meta Business Suite, Google Analytics, Constant Contact, and/or Drupal.
Minimum Education and Experience Requirements

The Museum of the Albemarle, a regional section of the North Carolina Museum of History Division, promotes the understanding of history and material culture of the Albermarle region in which it is located and for the state for the educational benefit of all people. Through regional collections, historical interpretation, social media promotions, and professional assistance, the museum encourages citizens and visitors to explore and understand the past; to reflect on their own lives and their place in history; and to preserve regional history for future generations. Division Description:
The Division of State History Museums collects and preserves artifacts and other historical materials relating to the history and heritage of North Carolina in a local, regional, national, and international context to assist people in understanding how the past influences the present. The Division interprets the state’s history through exhibitions, educational programs, and publications available to the visitor on-site or through distance-learning technologies. The museum division includes seven regional museums at Elizabeth City, Fayetteville, Beaufort, Cape Hatteras, Southport, Kenly, and Old Fort.
