    Organizational Unit Overview The Department of Coastal Studies (DCS) is organized within the College-level unit of Integrated Coastal Programs (ICP).

Integrated Coastal Programs is the organizing unit that includes the DCS, Diving and Water Safety, the Integrated Coastal Sciences PhD program and the Coastal Studies Institute in Wanchese, NC. The Department of Coastal Studies is committed to advancing science and providing solutions to North Carolina’s coastal and marine issues by integrating the expertise of scientific leaders across disciplines focused on coastal science and policy, partnering with communities in coastal zones around the world, and developing educational programs to prepare students to understand and respond to complex and dynamic coastal and marine natural and social systems. Job Duties The Department of Coastal Studies (DCS) is seeking a proactive and resourceful Business Services Coordinator to provide administrative, financial, and personnel support for a research-intensive academic unit that spans two ECU campuses. This role is integral to ensuring the department’s financial operations run smoothly, faculty and staff have the resources they need, and administrative processes are handled efficiently and timely. The coordinator will oversee financial operations, budget management, personnel actions, and daily administrative tasks while ensuring compliance with university, state, and grant policies. This position works under the supervision of the Chair but also provides logistical support to the Dean of Integrated Coastal Programs and serves as a key liaison between DCS, university offices, funding agencies, and external partners. The Business Services Coordinator will be an essential team member, providing strategic administrative support and helping grow an innovative and productive coastal academic and research program. As a key administrative leader in the department, the Business Services Coordinator will utilize high organizational skills and strong attention to detail to manage multiple responsibilities and deadlines, and foster a collaborative workspace. The person in the position will need to work independently on departmental matters as well as collaboratively through Microsoft Teams or similar virtual platform. 30%

  • Financial Management
    This position is responsible for all funds flowing through DCS and will organize and process transactions and provide relevant reports for the organization’s funds, invoice preparation, purchasing, budget and expense transfers, and charges to other departments.

This position will organize and maintain records for fixed assets within the department. This position requires assisting faculty in ensuring accurate research and travel budgets and processing the financial and personnel transactions indicated above for sponsored grants, state, and other funds. This position will be expected to operate Banner and other ECU IT budget systems.

    New position development; PeopleAdmin transaction entry; time and effort control; employee grievance resolution; supervision of staff and students; time and leave reporting; payment of staff and students in compliance with State policy and procedures.

  • Communication and Interfacing
    Provide reports and input for new budget development and required reporting; report to Department Chair and faculty budget balances and other financial information as requested; appraise staff of changes in State and University regulations; convey important university policy information to staff—regular communication and collaboration with the Business Officer at Coastal Studies Institute.

This position is the primary contact for all people interacting with DCS, including students, ECU employees, and outside parties. This position must be able to communicate professionally and thoughtfully via face-to-face and electronic means.

  • Planning and Organizing
    Supervise work efforts for one SHRA position as well as students.

Meet with supervised employees to establish workflow, long-range planning, and determining deadlines. Verifies that the work of supervised employees is performed accurately and timely. You will work with faculty on post-awards, including hiring, expenditures, travel, and purchases. Lists ICS and COAS in the university course scheduling system and reserves the classrooms. You must follow all ECU records retention and associated records policies. The department may require one-off tasks to be completed by the employee.

  • Purchasing
    Expedient and efficient utilization of funds; knowledge of and compliance with ECU purchasing guidelines; resolving purchasing problems.

Ensures orders are placed and required steps necessary are followed; reconciles ProCard activities for the department. Manages Fixed Assets for the department. Works with buyers. Minimum Education/Experience Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
