Job Description

Whether greeting families at the front desk, answering phones with a friendly tone, or helping staff stay organized behind the scenes, you will play a key role in making everyone who walks through our doors feel seen, supported, and valued. Manage incoming phone calls, emails, and general front desk correspondence. Schedule and coordinate meetings, appointments, and calendars for staff and leadership. Maintain and organize files, records, and databases, including child files. Support enrollment processes and assist with family communications. Manage office supplies, equipment, and general front office organization. Provide administrative support to the Executive Director, Development Director, and Director of Operations. Assist with basic bookkeeping tasks and financial record-keeping. Coordinate logistics for meetings and events in partnership with the Development Director. Keep the Early Learning lobby clean, organized, and welcoming. Maintain and organize the copy room and car seat storage area. Update lobby TV displays with current events, birthdays, and staff anniversaries. Perform data entry for child records and documentation. Administer medication to children as needed and document appropriately. Ensure incident reports are properly completed, filed, and communicated. Print and verify weekly attendance and meal count sheets. Support staff during special events and family engagement activities as needed. Take on additional tasks and responsibilities as needed to support daily operations.

Skills and Knowledge Required:

2-3 years of administrative support experience required. Experience working in a licensed early childhood center preferred High School Diploma or equivalent Knowledge of bookkeeping and accounting procedures Excellent personal, verbal and written communication skills Strong organizational, time management and multitasking skills CDL Class B with a Passenger endorsement preferred
