This position will be based out of our Salisbury, NC location and requires daily office attendance.
Overview:
The Jr. Service Administrator’s responsibilities include assisting the Field Service Team and customers. The Jr. Service Administrator is supportive of the daily administrative needs of our service department within the FleetCare group, working closely with the Service Manager, Service Writer, mechanics, and the warranty and parts departments.
Responsibilities:
Greet customers, introduce them to the appropriate POC, and create tickets on their behalf to track service requests (Phone, email, online ticketing system) Data & paperwork processing, collection, entry, editing, organization, and storage Review, edit, organize and store forms submitted from mechanics Customer communication/notifications, file sharing, and record keeping Confirm scheduled work and site instructions with customers prior to dispatch Assist closing completed field service work Assist monitoring and arranging parts logistics for field service jobs Check warranty status and validating warranty coverage Send and receive customer response surveys Take notes and organize summary details from meetings Monitor and confirm transport tasks for mobile inventory to maintain accuracy Monitor/assist with service team expenses, travel accommodations, and budget
Skills and Qualifications:
1+ years of experience as a Jr. Service Administrator or Office Assistant in a related industry Strong communication skills, both written and verbally, are crucial Proficient in computer software and programs Ability to handle customer interactions professionally and empathetically Strong attention to detail with accuracy and thoroughness Independently manage time effectively, prioritize tasks, and stay organized Exceptional reading, spelling, and grammar skills Can type quickly and accurately Ability to multitask in a fast-paced environment Experienced and proficient working with Concur, IFS, Freshdesk, and Microsoft Teams is a plus
