Bookkeeper/Secretary Martinez Law Monroe, NC 28110 Overview We’re seeking a Bookkeeper & Secretary to join us at our law firm. Responsibilities Fluidly manage all aspects of accounting and financials including Quickbooks, Generating Monthly Reports, Budgeting, Accounts Payable & Receivable, and Cash Management. Manage bookkeeping tasks using QuickBooks (invoicing, tracking expenses, reconciliations, etc.) Record daily financial transactions and reconcile accounts Maintain accurate financial records, including ledgers and reports Process accounts payable and receivable, ensuring timely payments and collections Prepare financial statements, including profit and loss statements and balance sheets Ensure compliance with tax regulations and financial reporting standards Collaborate with management to create financial projections and budgets Conduct periodic audits to ensure accuracy and prevent discrepancies Utilize accounting software (QuickBooks) and tools (Excel) to manage financial data efficiently Cut checks and process payments as required, ensuring timely disbursement Maintaining an open line of communication with clients ensuring they are updated about their case Greet clients and visitors in a professional and friendly manner Assist with filing and organizing legal documents Handle client inquiries and provide excellent customer service Assist with other administrative tasks as needed Maintain and organize office records, receipts, and financial documents Support the team with scheduling, email correspondence, and administrative duties Assist with client and vendor communication as needed Upload documents to Google Drive and maintain digital files Fluidly manage all aspects of Human Resources including payroll processing, insurance, compliance.
Oversee general office operations:
tax and regulatory filings. Conduct expense reports and cross check against credit card bill for accuracy All other duties as assigned. Experience Excellent QuickBooks skills, minimum 2 years experience Must be bilingual (English/Spanish) Proficient in Microsoft Office Suite Experience with payroll taxes, filing quarterlies and insurance audits A strong work ethic and a high degree of integrity, and will maintain the privacy, integrity and security of confidential information Must be organized and detail-oriented Strong interpersonal and communication skills Proficient in using office equipment, such as printers, scanners, and fax machines High level of reliability, dependability, and punctuality Excellent organizational skills with the ability to prioritize tasks effectively Must have a positive attitude and professional appearance.
