The Administrative Assistant provides general office support, including handling clerical tasks, organizing meetings and events, and coordinating other tasks. The Administrative Assistant works independently under the guidance of the Regional Managing Director, maintaining a high level of ownership while completing tasks properly and in a timely manner. They wear multiple hats and support cross-department administrative duties. They will act as the primary contact for visitors, handle vendor relations, and facilitate office events and meetings.

What You’ll Do:
The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make. Order and track inventory of BECS Project & Lab equipment. Provide comprehensive administrative support to the team. Assist in managing schedules, appointments, and general office tasks. Maintain the office kitchen , including monitoring inventory and submitting monthly office supply orders, and maintaining the following: coffee, tea, creamer, paper towels, toilet paper, cleaning supplies, and copier paper/toner. Maintain copiers and filing, copying, and binding support, and provide assistance to staff as needed. Assist with lunch coordination (as requested), and go-to meetings scheduled. Handle FedEx or UPS shipping requests in a timely and accurate manner. Provide a welcoming environment to internal and external clients. Notify appropriate team member of guest arrivals in a timely fashion. Receive and deliver mail to appropriate staff on the same day received and ensured outgoing mail is prepped and picked up or taken for drop-off as needed. Ensure new hire items are prepped and ready for the first day. Maintain a clean, stocked, and organized workspace at the front desk and in all common areas, including the break rooms, kitchens, copier areas, and conference rooms. Facilitate ordering and delivery of meals as requested. Oversee and coordinate office support services, including facilities management, vendors, and supplies. Work in conjunction with Corporate Fleet and Equipment Coordinator to maintain routine equipment and fleet maintenance needs and service tracking. Contribute to team effort by accomplishing related projects and results as needed; can take direction with ease in multiple forms and work with all levels of internal management and staff.
What You’ll Bring:
High School Diploma or equivalent 2 or more years of administrative experience . Demonstrated ability to multitask and maintain professionalism through multiple interruptions. Proficiency in Microsoft Office applications : Excel, Word, SharePoint, and Outlook. Ability to operate with a high level of professionalism and flexibility , adapting to a changing office environment, working with internal and external clients/coworkers, and executives. Exceptional grammar, business writing, and presentation preparation skills Advanced verbal and written communication skills with all levels within and outside of the organization Experience exercising discretion and confidentiality with sensitive company information. Excellent planning and organizational skills with an ability to think proactively and prioritize work. Optimism Working Environment:
This role involves both physical and mental demands and may be performed in various settings, including offices, construction sites, and confined spaces like elevator pits. Physical Demands:
This role requires regular sitting, talking, and hearing in meetings and by phone. Employees must navigate tight spaces, climb ladders, move around construction sites, take measurements, and travel by car, air, or rail. Duties may involve working at heights and in confined spaces, using hands for tasks like typing and operating elevator components, and applying up to 30 lbs. of force. Close visual attention is also required.
Mental Demands:
This position requires strong written and verbal communication, problem-solving, and analytical skills. Employees must interpret complex information, apply mathematical and logical reasoning, quickly learn new skills, and manage detailed, multitask workloads under shifting deadlines. Regular interaction with executives, colleagues, clients, and external stakeholders is also expected. Employment is contingent upon the successful completion of a pre-employment background check and drug test.
