Job Description
Position is funded in part through federal funds. The NC Division of Services for the Blind provides services to eligible individuals who are visually impaired, blind or deafblind to assist them with achieving their goals of independence and employment. This position is located in the NC Division of Services for the Blind Director’s Office in Raleigh, NC and primarily supports the Division’s Assistant Director, the Division Director and, when needed, to those who report directly to the Assistant Director. The Director’s office provides overall management support services for the Division at the state and district levels. This position is an integral part of assisting with the coordination of many aspects of responding to internal statewide needs as well as responding to requests from the Department of Health and Human Services, the executive branch, legislative offices and the public. This position’s relationship to the Director and Assistant Director requires the Administrative Specialist II to have excellent administrative, computer and communication skills. The employee needs to be very conscientious, detail oriented, organized and able to prioritize and re-prioritize as needed. Because this position is privy to a substantial amount of sensitive information, it is imperative that confidentiality is maintained for all applicable information. Key responsibilities of this position include: Provide excellent customer service in-person, via email, on the phone and through correspondence for the Director’s office, statewide staff, individuals receiving Division services, guests and members of the public. Work collaboratively with a team of administrative staff to assist with state offices functions. Respectfully and appropriately interact with individuals who are visually impaired, blind or deafblind as well as have additional disabilities. Assist the Director’s office with responding to unexpected requests for information which are due in a short timeframe. Serve as a statewide resource to staff regarding providers and services in the division’s online case management system and accurately key data in the system. Access applicable information in the NC Finance System (NCFS). Coordinate the annual review of the Fixed Assets Inventory spreadsheet. Collect and record monthly reports in the Motor Fleet Management website. Create and edit forms in Word, Excel and other programs as needed. Proofread and edit documents for accuracy, ensuring correct spelling, punctuation, proper grammar and accurate calculations. Make purchases via state P-card in compliance with all required policies and procedures. Process travel reimbursements and invoices and track for final payments. Coordinate background screenings as instructed. Troubleshoot problems with office equipment. Management preferences will be given to candidates with: Intermediate or advanced proficiency with MS Excel including the ability to generate formulas. Experience using a case management system. Experience with individuals with visual impairments or other disabilities. At least two years of experience performing work as a processing assistant, secretary or administrative para-professional.
