This administrative role is critical in supporting project management by ensuring that all job files are complete, accurate, and compliant with insurance program requirements. You will assist with billing , track documentation, and coordinate communication related to insurance claims for residential and commercial restoration projects. Responsibilities:
Create, maintain, and audit detailed job files following SERVPRO® and insurance industry standards. Support the billing process by preparing accurate invoices and submitting them promptly. Organize and upload all documentation related to insurance claims into job management software (DASH, WorkCenter, Xactimate). Communicate with customers, insurance adjusters, and internal project managers to collect missing documentation or approvals. Ensure all administrative documentation is complete to allow smooth claim processing and payment collection. Monitor project milestones and maintain up-to-date information across platforms. Provide general administrative support, including data entry, file management, and customer follow-up. Work closely with the restoration production team to ensure seamless project documentation from start to finish.
Qualifications:
High school diploma or equivalent (required); Associate’s or Bachelor’s degree preferred. Previous administrative experience required; file coordination, project support, or office assistant background preferred. Familiarity with restoration industry standards, insurance claims handling, or construction administration a plus. Strong organizational skills with keen attention to detail. Excellent verbal and written communication skills. Proficient in Microsoft Office (Word, Excel, Outlook). Experience with Xactimate, DASH, WorkCenter, or other project management tools is highly desirable, but training is available for the right candidate. Ability to multitask and work independently in a fast-paced environment.
