Permanent, 12 Month Position Nature of Work Primarily performs administrative support work. Also provides assistance to the staff as well as the public; receives and routes calls appropriately; prepares and maintains files and records, and completes related work as apparent or assigned. This work includes the performance of highly responsible financial account recordkeeping and the maintenance of financial records and other supporting functions. Work is performed under the moderate supervision of the Principal. Qualifications and Licensure Minimum 48 hours of college coursework or 5 years of experience in the field Associates Degree, preferred Proper English usage, grammar, spelling, vocabulary, and punctuation. Proficiency with modern office methods, procedures, and practices, including filing systems, business correspondence, and telephone techniques. Basic understanding of account recordkeeping practices, and terminology. General knowledge of bookkeeping principles and procedures Duties and Responsibilities Maintains professionalism in greeting families and staff. Maintains files and records in an organized manner. Cordially greets the general public and provides appropriate assistance and direction. Answers telephone, provides excellent customer service during calls, takes messages and makes appointments for staff as needed. Directs incoming calls to the proper office or department for disposition. Provides general information regarding school system activities and programs to the public. Assists in entering data for staff. Assists staff with other clerical duties as requested. Performs a variety of office assistant tasks including ordering supplies, making copies and drafting correspondence Assists in coordinating substitute placement at the beginning of the day. Assists the Principal and Assistant Principal with clerical responsibilities as needed. Monitors and assists students in a school office for various reasons including illness, discipline, and detention. Maintains school’s accounting/fiscal records and expenditure transaction data; responsible for posting to requisite journals and ledgers. Maintains financial records and processes documents involved with financial/special reports and transactions, assigning codes, preparing copies, and sorting as necessary. Posts, checks, assembles, tabulates, audits, and compares statistical and financial data. Checks documents for proper authorization before processing, coding purchase orders for proper expenditure classification. Collects, deposits, and accounts for fees from a variety of sources. Receives and analyzes computer-generated reports regarding student accounts, comparing data, identifying discrepancies, and correcting inconsistencies. Verifies invoices and prepares disbursement orders for payment, obtaining necessary approval for payment of funds. Makes daily bank deposits, reconciles bank accounts, and provides individual account reconciliation information to appropriate staff. Prepares journal vouchers and ledger entries to provide documentation for all record keeping functions related to job assignments. Assists with the support of student projects such as student store, student elections, school pictures, and student handbooks as needed. Types a variety of materials, such as interoffice communications, requisitions, forms, and letters from oral direction, handwritten copy, or clear draft. Performs all other duties as assigned by the supervisor. Physical Requirements (if applicable) This work requires the occasional exertion of up to 10 pounds of force. Work regularly requires speaking or hearing, frequently requires standing, walking and sitting and occasionally requires using hands to finger, handle or feel, stooping, kneeling, crouching or crawling, reaching with hands and arms, lifting and repetitive motions. Work has standard vision requirements. Vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly. Hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound. Work requires preparing and analyzing written or computer data. Special Requirements (if applicable) General knowledge of standard office and receptionist procedures and the operation of the switchboard. General knowledge of the functions and activities of the public school system. Ability to speak clearly. Ability to understand and follow written and oral directions. to operate standard office, computer and word processing equipment. Ability to establish and maintain effective working relationships with associates, vendors and the general public. Ability to work with administrators and all staff positively.
