Full Job Description Position Summary:

The Human Resource Administrative Assistant is a key support role responsible for maintaining the daily administrative functions of the Human Resources department while assisting with general office operations. This role ensures compliance with regulatory requirements and contributes to the smooth operation of the facility. The position requires discretion, empathy, and organizational skills, especially within the context of a Substance Use Disorder (SUD) treatment setting.

Key Responsibilities:

Human Resources Support Assist with recruitment efforts, including posting job openings, scheduling interviews, and conducting reference checks. Facilitate onboarding and orientation of new hires, ensuring completion of required documentation and trainings. Maintain confidential personnel files in accordance with HIPAA and HR regulations. Track employee attendance, leave requests, and time-off balances. Support compliance with licensing and credentialing for clinical staff (e.g., CPR, licensure, background checks). Coordinate employee evaluations and performance review schedules. Assist with benefits administration and respond to employee HR-related inquiries. Administrative Duties Greet and direct visitors, staff, and clients with professionalism and compassion. Manage front office responsibilities such as answering phones, sorting mail, and ordering supplies. Schedule meetings and maintain calendars for leadership staff. Assist with document preparation, data entry, and recordkeeping. Support billing and insurance departments with clerical tasks as needed. Maintain inventory and manage office supply orders and vendor relations. Compliance & Confidentiality Ensure adherence to all federal, state, and local employment and healthcare regulations. Maintain confidentiality of all personnel and client records in accordance with HIPAA. Participate in staff trainings and contribute to a trauma-informed and culturally competent environment.

Qualifications:
Education and Experience:

High school diploma or equivalent required; Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred. Minimum of 1-2 years of experience in an HR or administrative support role, preferably in a healthcare or behavioral health setting.

Skills:

Excellent interpersonal, written, and verbal communication skills. Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and HRIS systems. Sensitivity and understanding of issues related to substance use, mental health, and trauma.

Preferred Traits:

Empathy and professionalism when interacting with clients in recovery. Experience with credentialing and regulatory agencies (e.g., CARF, Joint Commission) is a plus.

Work Environment:

Fast-paced behavioral healthcare facility. Interactions with clients in recovery, clinical staff, and external agencies. Must maintain composure and confidentiality in a high-stress, sensitive environment.
