Under the supervision of the Dean of the School of Business and Social Sciences, the Administrative Assistant is responsible for coordinating and carrying out a variety of key administrative functions. This role manages a wide variety of key administrative functions to support the work of the Dean, Program Directors and Faculty of the School of Business and Social Sciences while facilitating effective and positive working relationships between the programs and all other college constituencies. Responsibilities Supports and maintains the schedule of the Dean of the School of Business and Social Sciences. Coordinates, records and maintains agendas and minutes from all department and faculty meetings and distribute them accordingly for the School of Business and Social Sciences. Meets weekly with the dean of the school to enable planning, problem-solving, updates and specific assignments. Manages budgets Maintains budget spreadsheets and reconciles them to Financial Services records. Tracks finances and creates reimbursements. Conducts research for new and replacement equipment/supplies. Manages school credit cards. Orders office supplies, supplies for laboratories, supplies for courses using electronic purchasing system. Processes invoices. Administer Academic Advising and Faculty Course Evaluations. Coordinate with the Academic Program Coordinator in the School of Nursing and Health Sciences to support the Dartmouth-Hitchcock partnership. Supports contact databases for the MSW and MBA programs. Supports Council on Social Work Education (CSWE) accreditation materials. Supports Accreditation Council for Business School Programs (ACBSP) accreditation materials. Coordinates the upkeep /maintenance of academic areas/buildings. Coordinates maintenance of, orders supplies for, and troubleshoots for copiers in Colgate and elsewhere as needed. Makes reservations for rooms and vans. Maintains e-mail distribution lists. Picks up and distributes mail. Assists with assigning office space for full time and adjunct faculty (facilitates keys and phone numbers). Reviews website content for the school at least once per semester to identify needed updates. Provides clerical support for program reviews, search committees, text book adoptions. Coordinates/assists in special events. Processes Independent Service Contracts for guest speakers, etc. Assists with departmental promotional materials for events such as Open House. Collects and posts all school syllabi to archive site. Manages work study students. Ability to multi-task and be flexible. Demonstrated knowledge of Microsoft Software (Word, Excel, PowerPoint, Publisher, Outlook, etc.), Qualtrics, Management Reporter, WrightExpress, CashNet, Purchasing. Consistent attention to detail. High level of verbal and written communication skills. Strong organizational skills. Ability to maintain confidentiality and appropriately manage sensitive information. Associates degree in an appropriate discipline or equivalent experience. Three to five years of related technical and administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired. Office management and general clerical skills, including computer application and record keeping skills. Planning, administrative and organization skills, research, writing, and basic math skills. Previous experience in organizing and maintaining complex filing and record keeping systems. General understanding of higher education organization structure and administrative operations. Demonstrated ability to deal effectively with a wide variety of individuals inside and outside the college, including professional tact and diplomacy. Physical demands of routine office environment. May require occasional nonstandard scheduling or other to coordinate /attend departmental events and programs.
