19/hour The State of New Hampshire, Department of Labor, Hearings Bureau has a full-time vacancy for an Administrative Secretary.

Summary :

Performs high-level administrative and clerical support for the Department of Labor to include drafting correspondence, compiling reports, and managing telephone calls and written correspondence. Provides guidance and assistance to internal and external stakeholders and maintains electronic data bases.

: Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.

MINIMUM QUALIFICATIONS
Education:

Associate’s degree from a recognized college or two years of college with a major study in secretarial science, business administrator or computer science.

Experience:

Two years’ experience in a secretarial position involving supervisory, office management or administrative support experience. Each additional year of approved work experience may be substituted for one year of required formal education.

License/Certification:

None Required.

Responsibilities:

Provides administrative and clerical support to Department leadership by reviewing official letters, memos, reports and hearing decisions for completeness and accuracy, reviewing all arithmetic, and making corrections as needed. Ensures approval and signatures are provided by management and then issues correspondence via regular mail, email or fax. Receives and screens telephone calls, providing answers to routine questions, and routing communication to other personnel as appropriate. Monitors the Hearings Bureau email inbox, directs correspondence to appropriate department, and files information received into filing system. Provides duplication of request materials to Hearings Bureau Adjudicators and Hearings Parties. Identifies if request requires a release or qualifies as a right to know request and directs those requests appropriately. Communicates with external stakeholders including attorneys, employers, carriers and claimants by providing answers to routine questions about processes and procedures. Serves as a resource for internal employees to provide information or direction on where knowledge can be acquired. Updates and maintains multiple electronic data bases used to track details of ongoing cases including hearing meeting details, assignments, decision results, and other pertinent information. Compiles hearing information and provides reports for leadership. Reviews, verifies, and processes information from the public to determine eligibility for agency services. Forwards eligible requests to appropriate unit within agency. Routes ineligible requests to correct contact to provide resolution. Monitors office supply inventory and submits request for purchases to purchasing manager. Manages conference room calendars and schedules meetings.
