Advertising Administrative Assistant 3.0 3.0 out of 5 stars Pembroke, NH 03275 POSITION

RESPONSIBILITIES/ACCOUNTABILITIES

Collaborate with the advertising team to streamline administrative processes and support the creation and delivery of advertising materials for our retailers. Work with the merchandising team to create weekly ad plan versions, ensuring accuracy and timely delivery to support downstream advertising functions. Manage accurate billing and recordkeeping for flyers, point-of-sale materials, digital assets, and applicable taxes, ensuring compliance with ad plan procedures. Identify, calculate, and issue advertising allowances for promotional campaigns, and generate detailed reports as needed. Maintain detailed Excel spreadsheets to track paid invoices, credits, and weekly flyer billing by class code. Identify discrepancies in billing, tracking, or documentation, and propose process improvements to the Advertising Manager. Assign specific item numbers within weekly ad plans to ensure accurate placement and retrieval by the eComSystems platform during flyer creation. Create and schedule weekly marketing events in the eComSystems platform to support flyer production. Attend weekly ad plan meetings and weekly department huddles to gather updates and share information with the advertising team. Coordinate the Neighbor 2 Neighbor charitable program by processing retailer participation, maintaining records, and communicating program benefits. Communicate with retailers and co-workers to ensure that questions, concerns, and requests are addressed in a timely and professional manner. Provide administrative support to the Director of Retail Marketing and the Advertising Manager, ensuring timely responses to retailer and team inquiries. Handle copier service calls and coordinates ordering of copier and office supplies. May perform other duties as assigned to meet business objectives.

ESSENTIAL SKILLS & EXPERIENCE

High school diploma or equivalent. Advanced proficiency in Microsoft Excel; strong familiarity with the full Microsoft Office suite. Excellent organizational and time management skills, with a demonstrated ability to prioritize tasks in a fast-paced, deadline-driven environment. Strong written and verbal communication skills, with keen attention to detail and accuracy in grammar and spelling. Proven ability to work independently, demonstrating initiative, accountability, and effective multitasking. Strong interpersonal skills with the ability to collaborate effectively across teams and with a diverse retailer base. Excellent customer service skills, with the ability to professionally address retailer inquiries and concerns.

NON-ESSENTIAL SKILLS & EXPERIENCE

: Familiarity with eComSystems or similar marketing platforms. Experience in retail advertising or the grocery industry operations.

PHYSICAL DEMANDS & WORK ENVIRONMENT

Work is normally performed in a typical interior/office work environment. Constant exposure to viewing computer monitors. Extended periods of time spent sitting at workstations. Occasional lifting required 50lbs or less. No or very limited exposure to physical risk.
