Administrative Assistants USNH Employees should apply within Workday through the Jobs Hub app Under the supervision of the Administrative Coordinator and Department Chair, assist with daily operations and administrative activities related to the functioning of the Department of Education. Support Chair, Coordinator, faculty, and students on all academic and administrative matters, including any related to or directly involving policies, procedures, and deadlines. This staff member is the first point of contact for students, faculty, and visitors. Duties/Responsibilities Department Administrative Support (50%)
Answer/respond to phone calls and email from prospective and current students, parents, school partners, and more. This position requires a clear and detailed understanding of the varied degree programs (including licensure pathways) to effectively respond to questions.
Maintain a list of questions frequently asked by prospective students. Respond to general questions from prospective students. Redirect inquiries as needed to the appropriate person or office.
Ensure that applicants for certification programs have completed required state and federal background checks.
Manage office supply inventory and equipment purchases, including for Seacoast Reads and the Community Literacy Center.
Serve as the main contact for building maintenance requests, room scheduling, classroom equipment issues. Serve as telecom agent, report issues, service changes, and office moves. Serve as the UShop change agent for departmental purchases.
Work with Director of Educator Preparation and accreditation officer to support accreditation visits from NH Department of Education or national accreditation organization.
Coordinate monthly department meetings, develop agendas, take minutes. Maintain summary document recording department decisions/elections regarding leadership positions, committee membership, program development, program closures.
Schedule department committee meetings. Maintain current lists of committee members.
Coordinate and distribute administrative correspondence for department faculty and Chair. Forward college, university, and other relevant communications to department and adjuncts.
Create and post meeting notes for weekly staff meetings.
Department Events, Outreach, and Communication (25%)
Maintain active student Canvas communications group to notify students about registration deadlines, upcoming events, employment opportunities, and other information.
Maintain departmental website and social media platforms to ensure that content and announcements are current and accurate.
Serve as point person for communication with central marketing and COLA marketing director. Assist in creating student videos to be used in recruitment and fund-raising.
Advertise events and programs on campus sites and UNH Master Calendar.
Assist in coordination of department events, graduation ceremonies, and seminars.
Support student recruitment by conducting information sessions for prospective undergraduate and graduate students, and by representing the Department at Open House and Admitted Student Visit days.
Participate in information sessions and events for undergraduate and graduate degree programs. Assist in information sessions regarding licensure pathways.
Program Support (25%)
Maintain list of current students, advisors, and programs. Maintain list of doctoral (PhD and EdD) students and emails for relevant doctoral student communications. Update every semester.
Create reports on student progress and outcomes, as needed, by degree. Specifically, maintain lists of required courses taken by students in the BA in Education, M.Ed. in Educational Studies, and Ed.

D. programs to use in course planning. Record doctoral student progress regarding critical milestones (passing Qualifying Exam and Dissertation Proposal).
Assist in entering information about gateway completion into relevant university reporting software for students in Educator Preparation Programs.
Track waiver forms for previously completed coursework for undergraduate students. Upload documentation of completed waivers to student applications.

evaluations and Praxis test scores to applications for teacher certification programs
Provide permission for students to register for permission-required courses.
Compile, compose, prepare, edit, and update department documents such as reports, spreadsheets, surveys, packets, flyers, brochures and handouts as assigned.
Maintain department files for planning and continuity between changes in elected department leadership. – revise to include filing system in SharePoint for Department.

Requirements Minimum Acceptable Education & Experience:

High school graduation and five years of related experience , or a Bachelor’s degree and one year of related experience.
At least one year experience in higher education administration / support.

Skilled using Microsoft Office applications (Word, Excel, PowerPoint) and website editing software

Experience working in the USNH system
Experience using WorkDay and other USNH platforms
Bachelor’s degree
