Full-Time Company Overview We are a growing property management company dedicated to providing exceptional service to property owners and tenants. We manage a diverse portfolio of residential and commercial properties and are seeking a detail-oriented Administrative Assistant to join our dynamic team. Position Summary We are looking for a reliable and organized Administrative Assistant to support our daily operations. This role involves managing clerical tasks, coordinating with field workers, and maintaining vendor relationships. The ideal candidate will be a strong communicator who can multitask effectively in a fast-paced environment. Key Responsibilities Administrative & Clerical Support Manage incoming calls, emails, and correspondence Maintain accurate tenant and property files (both digital and physical) Process work orders and service requests Prepare reports, documents, and presentations Schedule appointments and coordinate calendars Handle data entry and database management Assist with lease administration and documentation Field Worker Coordination Dispatch and schedule maintenance technicians and contractors Coordinate property inspections and maintenance visits Track work order completion and follow-up on outstanding items Communicate priority issues and emergency situations to field staff Maintain schedules and routing for field personnel Ensure proper documentation of completed work Vendor Management & Follow-up Contact vendors for quotes, scheduling, and project updates Track vendor performance and maintain vendor database Follow up on outstanding invoices and payment processing Coordinate with vendors for routine maintenance and emergency repairs Maintain vendor insurance certificates and licensing documentation Process vendor applications and conduct initial screenings Required Qualifications High school diploma or equivalent (Associate’s degree preferred) 2+ years of administrative or office support experience Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong written and verbal communication skills Excellent organizational and time management abilities Attention to detail and accuracy in data entry Ability to prioritize multiple tasks and meet deadlines Professional phone etiquette and customer service skills Preferred Qualifications Previous experience in property management or real estate a plus, but not required Familiarity with property management software (Yardi, AppFolio, etc.) Experience coordinating with contractors or field personnel Knowledge of basic maintenance and repair terminology Bilingual capabilities (Spanish/English preferred) Skills & Competencies Strong problem-solving and critical thinking abilities Ability to work independently with minimal supervision Excellent interpersonal skills for vendor and tenant interactions Adaptability and flexibility in a changing work environment Basic understanding of property maintenance processes Reliable and punctual with strong work ethic Working Conditions Office environment with occasional property site visits Standard business hours (Monday-Friday, 8:30 AM – 5:00 PM) May require occasional evening or weekend availability for emergencies Light physical activity including filing, lifting up to 25 lbs What We Offer Competitive salary commensurate with experience Comprehensive health benefits package Paid time off and holiday pay Professional development opportunities Friendly and supportive work environment Opportunity for career growth within expanding company
