Job Description
Administrative Secretary Township of Livingston 357 South Livingston Avenue, Livingston, NJ 07039 Performs skilled clerical and administrative work in the performance of a variety of clerical and administrative tasks in support the Engineering Department.
PHYSICAL DEMANDS AND WORKING CONDITIONS
Frequently required to stand, walk, talk, hear, sit, and balance. Ability to regularly use hands to handle, feel, or operate objects, tools or controls and to reach with hands and arms. Frequently must lift, move and carry up to 5 pounds and occasionally up to 20 pounds.
KNOWLEDGE, SKILLS AND ABILITIES
Thorough knowledge of office management principles, procedures, techniques and their adaptation. Thorough knowledge of business English, spelling and arithmetic. Knowledge of principles, procedures and problems of public administration including personnel and fiscal management and their adaptation to the department. Knowledge of government budget and administrative practices and procedures. Working knowledge of MS Office, specifically, Word, Excel and Access. Ability to read, write, speak, understand, and communicate in English sufficiently to perform duties of this position. Ability to understand and interpret complex technical material. Attention to detail and accuracy is required. Excellent customer service skills requiring a pleasant phone voice and ability to interact with the public in a positive and constructive manner. Ability to express a willingness to help others. Ability to organize assigned work and develop effective work methods. Ability to keep office records and to prepare accurate reports from file sources. Ability to perform and organize work independently. Ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor. Ability to establish and maintain a positive, effective working relationships with co-workers, supervisors and the general public. Ability to handle many competing tasks on a regular basis
EDUCATION, EXPERIENCE AND SPECIAL REQUIREMENTS
Any combination of education and experience equivalent to graduation from an accredited community college with major course work in secretarial science, office management or related field and a minimum of three years of office experience one of which in the office of an executive. May require a driver’s license valid in the state of New Jersey.
