Full Job Description Job Summary:
We are seeking a detail-oriented and highly organized Assistant Secretary to support daily administrative operations in a dynamic medical or healthcare setting. The ideal candidate will have strong proficiency in Microsoft Excel and Word, excellent communication skills, and experience with clerical tasks such as taking inventory, ordering supplies, processing payroll, scheduling staff, and managing certification records.
Key Responsibilities:
Administrative Support:
Draft, edit, and manage correspondence and documents using Microsoft Word and Excel. Respond promptly and professionally to emails, phone calls, and other inquiries.
InventorySupplies:
Maintain accurate inventory of office and medical supplies. Place and track orders for medical and office supplies as needed. Coordinate with vendors to ensure timely delivery of items.
PayrollScheduling:
Assist with processing employee payroll in coordination with the accounting or HR department. Create and manage staff schedules to ensure adequate coverage across all shifts.
Certification Management:
Track staff certifications and licenses. Ensure timely renewal of required certificates and maintain accurate records of expiration dates.
DocumentationCompliance:
Maintain up-to-date records, files, and logs both physically and digitally. Support compliance with internal policies and regulatory requirements.
Qualifications:
High school diploma or equivalent; Associate’s or Bachelor’s degree preferred. Proficiency in Microsoft Office Suite (especially Excel and Word). Minimum of 1-2 years of administrative or secretarial experience, preferably in a medical or healthcare setting. Experience with payroll systems and scheduling software is a plus. Strong organizational, time management, and multitasking skills. Excellent written and verbal communication skills. High level of attention to detail and accuracy.
Work Environment:
Office-based position with a fast-paced, collaborative atmosphere. May require occasional lifting of supplies or boxes under 25 lbs. Standard working hours, with occasional flexibility based on scheduling needs.
