Job Summary:
The Office Assistant will provide essential administrative support to ensure the smooth and efficient operation of our office. This role involves a variety of tasks, including answering phones, managing correspondence, data entry, document scanning and filing, and other general office duties. The ideal candidate will be detail-oriented, possess excellent communication skills, and be proficient in basic computer applications.
Responsibilities:
Telephone and Reception:
Answer and direct incoming phone calls in a professional and courteous manner. Take accurate messages and relay them promptly. Greet and assist visitors.
Administrative Support:
Perform general office duties, including photocopying, scanning, and faxing. Maintain and organize physical and electronic filing systems. Prepare and process outgoing mail. Order and maintain office supplies.
Computer Work:
Perform data entry and maintain accurate records in computer systems. Prepare and format documents, reports, and correspondence using Microsoft Office Suite (Word, Excel, Outlook). Assist with basic bookkeeping tasks as needed.
Document Management:
Scan and upload documents to electronic filing systems. Ensure accurate and efficient filing of all physical and digital documents. Maintain confidentiality of company documents.
Other Duties:
Assist with other administrative tasks as assigned by management. Maintain a clean and organized office environment.
Qualifications:
High school diploma or equivalent required. Proven experience as an office assistant or in a similar administrative role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent communication and interpersonal skills. Strong organizational and time management skills. Ability to multitask and prioritize tasks effectively. Detail-oriented and accurate. Ability to work independently and as part of a team. Reliable and punctual. Familiarity with standard office equipment (copier, scanner, fax machine). Experience with basic bookkeeping is a plus.
