Office Administrative Assistant-Bilingual Morning Star Supportive Services Corporation South Plainfield, NJ 07080 Overview We are seeking a dedicated and organized Bilingual Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office and providing exceptional support to our staff and clients. The ideal candidate will possess strong organizational skills, excellent phone etiquette, and the ability to manage multiple tasks efficiently. Responsibilities Provide administrative support including organizing, filing, and document preparation. Communication and Correspondence – Attending to all inquiries received via phone calls and face-to-face interactions, ensuring a consistently high standard of professionalism and service is maintained Maintain office organization by managing supplies and equipment. Schedule appointments and manage calendars for team members. Preparing onboarding documents, assisting new hires with forms, collecting credentials and required documents. Organizing orientations and supporting exit procedures including retrieval of company property. Maintaining up-to-date Employee folders (both digital and physical), tracking certifications, licenses, and background check results, and ensuring HR documentation compliance. Payroll processing and addressing payroll-related inquiries. Handling all sensitive employee and company information with strict confidentiality and ensuring adherence to internal policies. Requirements Proven experience as an Administrative Assistant or in a similar role within an office environment. Strong organizational skills with the ability to prioritize tasks effectively. Proficiency in using phone systems and standard office software (e.g., Microsoft Office Suite). Excellent phone etiquette and customer service skills. Bilingual proficiency, enhancing communication with diverse clients. Ability to work independently as well as part of a team.
