Feel free to check us out at our website csavsystems.com Position Overview We are hiring an AV Technical Services Administrative Assistant to support our Technical Services Manager and broader operations team. This position plays a critical role in the coordination of installation and service projects, with responsibilities spanning from technician scheduling to project documentation management and subscription oversight. You will act as a central communication hub between sales, engineering, purchasing, and service departments—ensuring project details are organized, accessible, and up to date. This is an ideal role for someone who is process-oriented, tech-savvy, and eager to grow in the commercial AV industry. Key Responsibilities Project Documentation & Coordination Process new sales orders and ensure all project information is properly distributed to relevant internal teams. Create and maintain structured Microsoft Teams channels for each project, ensuring all documentation (site surveys, drawings, signal flow diagrams, etc.) is up to date and properly stored. Print and distribute project related drawings and documents Organize and upload project-related photos for internal use and client documentation. Maintain accurate and accessible digital and physical project files in line with operational SOPs. Track and update project timelines and statuses using spreadsheets or project management platforms. Technician Scheduling & Resource Support Assist with daily and weekly technician scheduling for installations, service calls, and maintenance visits.. Communicate project assignments and resource changes clearly to the operations team. Subscription Administration Oversee renewals and account management for AV-related digital platforms (e.g., SiriusXM, digital signage CMS). Serve as point of contact for vendor portals, client licensing issues, and minor support requests related to subscriptions. Cross-Departmental Support Participate in weekly project and service review meetings, providing scheduling updates and action item tracking. Collaborate with procurement, engineering, and project management teams to ensure deliverables align with deadlines and priorities. Provide backup administrative support to service and project managers as needed.
Qualifications Required:
High school diploma or GED (Associate’s degree preferred). Minimum of 2 years administrative, project coordination, or service support experience—preferably in a technical, construction, or integration-related environment. Working knowledge of Microsoft Teams, Excel, Outlook, and Word. Strong verbal and written communication skills with a focus on clarity and professionalism. Ability to manage shifting priorities and deadlines while remaining detail-oriented. Basic understanding of AV systems or willingness to learn (e.g., displays, control processors, speakers, DSPs).
Preferred:
Familiarity with commercial AV brands (e.g., Crestron, Q-SYS, Extron, Biamp, Shure, JBL). Experience using project management or workflow tools (e.g., iPoint, D-Tools). Prior work supporting field technicians, engineers, or construction/technology service teams.
AVIXA CTS

Location:
