Administrative Assistant Job Description The Administrative Assistant will be responsible for issuing, distributing, and maintaining controlled documents and forms. This role involves data entry of test reports and other quality, production, and test documents, as well as maintaining product files and test reports. The assistant will also track calibration reports and logs for testing instruments and manage trading sales purchase orders and test reports. Responsibilities Issue, distribute, and maintain controlled documents and forms. Perform data entry of test reports and other quality, production, and test documents. Maintain product files and test reports. Track and log calibration reports for testing instruments. Manage trading sales purchase orders and test reports. Order supplies necessary for processing paperwork. Maintain documentation distribution list and archived files. Ensure proper maintenance of equipment, such as fax machines, copiers, printers, and PCs. Track and maintain chemical analysis results. Observe and report safety hazards within the department to the QA Manager. Maintain and order department supplies. Receive and log Daily Concern Reports. Manage and maintain plant manuals. Review, scan, and manage all plant training records. Essential Skills At least 1 year of administrative experience, preferably in manufacturing or distribution. Proficiency in Microsoft Office, especially Excel. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Effective speaking skills for group presentations. Additional Skills & Qualifications Experience in administration within a manufacturing or distribution setting is preferred. Work Environment The position offers flexible start times at 7:30, 8:00, or 8:30 AM, with 8.5-hour workdays including a half-hour lunch. The role is based in a cubicle within a lab located in a manufacturing plant, working as part of a team of five people and reporting to the QA Supervisor.
