Service Coordinator / Administrative Assistant

Riverdale, NJ 07457 Service Coordinator Manage incoming client calls. Acquire, and clearly document: Scope, Severity, and Impact of issues. Provide exceptional customer service and follow-up with clients via phone and email. Create service tickets in ConnectWise (our PSA) for all client issues and projects (internal and external). Schedule resources for service requests, both remote and on-site. Monitor and manage the support service boards to ensure all tickets are correctly prioritized, scheduled and progress to completion. Coordinate and monitor the schedules for technicians, Service Manager and Project Manager and communicate any changes. Identify tickets that may require intervention and communicate with the Service Manager. Review technician time sheets and see them through the submission and approval process. Manage documentation for new installations and parts, ensuring all parts arrive and are accounted for. Administrative Assistant First point of contact for all incoming calls and reception for in-person visitors. Assist COO with various administrative projects as needed. Assist COO with light AP/AR tasks, including client payment follow ups, billing issue communication and resolution. Help develop and maintain standard operating procedures (SOPs) for the organization. Maintenance of client, vendor, and prospect lists. Manage incoming and outgoing mail and packages. Schedule internal and external meetings. Monitor office supply inventory and order as needed. Some minor HR & Marketing tasks as assigned. Required Skills /
Functional Knowledge:
Operating Systems:
Microsoft Windows 10 or higher.
Core Applications:
Microsoft Word, Excel, and Outlook.
Browsers:
Edge, Chrome, or FireFox. General PC knowledge.
Organizational Expectations:
Exceptional customer service skills. Promptness and reliability. Very good written and verbal communication ability. Excellence in driving the organization’s goals and objectives. Highly self-motivated and directed with attention to detail. Ability to complete job assignments efficiently and independently. Strong documentation skills. Willingness to learn ConnectWise PSA (Professional Service Automation) software (training will be provided).
