For over a century Associated Humane Societies have offered a haven to abused and neglected animals. Founded in 1906, AHS is the LARGEST animal sheltering system in New Jersey. We operate three shelters located in Newark, Tinton Falls and Forked River. Our Forked River facility also includes Popcorn Park. Established in 1977, Popcorn Park is a sanctuary for abandoned, injured, ill, exploited, abused or elderly-exotic animals, birds, farm animals and wildlife (both domestic and exotic). AHS is looking for an energetic, organized, proactive assistant for the Development Department. In conjunction with our Development team, this important role assists with daily administrative and operational tasks including processing donations, maintaining our database while ensuring the highest level of customer service and attention to detail. The Development Assistant will wear many hats and work closely with a wide range of groups including donors, our community, and work with a passionate team of animal welfare advocates.

Job Responsibilities:

Assist the Development team with daily administrative and operational tasks such as providing customer service, processing donations, maintaining records, and mailing letters Provide customer service via phone, email, and in-person, acting as the primary department representative for questions and donations Build and manage supporter relationships Maintain databases including adding donations, scanning and uploading digital files, adding new donors, revising addresses, phone numbers, and emails for existing donors, reviewing returned mail/checks and making adjustments, merging or making donors inactive as needed, etc. Generate and mail thank you letters through the database, ensuring timely and accurate acknowledgement of gifts Prepare annual tax letters as requested Complete matching gift forms from donors and confirms matching gifts in employer portals Process checks and other donations received and provide reports to the finance and various other departments Maintains a good working knowledge of AHS and Popcorn Park programs and animals in order to provide accurate and appropriate support Answers phone inquiries, performs general clerical duties, monitors letterhead, envelopes, and other office supplies. Other tasks as assigned

Qualifications:

A strong love of animals and desire to make a difference Excellent verbal, written, and interpersonal communication skills Experience with customer service and answering phones Attention to detail and a proven ability to perform administrative tasks, including data entry, independently with a high degree of accuracy while prioritizing tasks and meeting deadlines Strong computer skills with database experience as well as experience with Microsoft Word, Excel, and Outlook (strength in Excel preferred) Ability to maintain a high degree of confidentiality when dealing with sensitive donor and financial information At least 1-2 years of related experience, preferably in the nonprofit or animal welfare industry and working in an office environment Ability to work evenings and weekends as needed, particularly to provide events support Associate Humane Societies is committed to being an Equal Opportunity Employer, and does not discriminate because of race, color, creed, gender, religion, national origin, disability, age, pregnancy, genetic predisposition or carrier status, marital status, citizenship status, or sexual orientation.
