An advertising/marketing business, where you will support our Office Manager with general office administration and basic accounting duties. This is an exciting opportunity for someone who enjoys variety, takes initiative, and is comfortable managing multiple priorities across different industries. Key Responsibilities Promotional Products Business Support Research and source promotional products based on client needs and budget Request and negotiate quotes with suppliers (domestic and overseas) Track production and delivery timelines; proactively communicate updates Create client estimates, invoices, and sales orders Ensure product quality standards are met before delivery Maintain vendor and client records Office & Accounting Support Assist the Office Manager with administrative duties (filing, scheduling, supply orders, etc.) Help with accounts receivable/payable: generate invoices, process payments, follow up on outstanding balances Enter transactions into accounting software (e.g., QuickBooks) Assist with monthly reconciliations and basic financial reporting Communicate with service providers, vendors, or contractors as needed Maintain organized digital and paper filing systems
Qualifications Required:
2+ years of experience in administrative support, customer service, or operations Strong organizational skills and attention to detail Proficiency with Microsoft Office or Google Workspace Experience with invoicing and basic bookkeeping tasks Strong written and verbal communication skills Ability to manage and prioritize multiple tasks independently
Preferred:
Experience in the promotional products industry (ASI, SAGE, etc.) Familiarity with QuickBooks accounting software Previous experience working with vendors or coordinating product delivery Knowledge of shipping logistics or import coordination is a plus To Apply Please send your resume and a brief cover letter describing your relevant experience and why this position interests you.
