Duties Description Under the direction of the Chief Information Officer, within the Office of the New York State Attorney General, Information Technology Bureau – Office of the Chief Information Officer, the Administrative Assistant 2, SG-15, will be responsible for supporting daily operations within the office by handling various complex professional administrative duties. The Administrative Assistant 2 will liaise with the Administrative Services Bureau, Bureau of Finance and Budget, and other internal and external groups and vendors as necessary.

Duties:
  • Maintain daily schedule and calendar of the CIO. Schedule all meetings for the CIO, including confirming and/or re-scheduling.
  • Maintain all travel arrangements and expenses for the CIO, including reservations and cancellations. Maintain master IT Bureau travel database.
  • Answer the CIO and IT Main phone lines.
  • Greet and sign in all visitors.
  • Update Bureau calendar with staff absences, conferences, and training.
  • Update Bureau Emergency Contact, Vendor Contact and Bureau Telephone lists
  • Assist with scheduling interviews with candidates for all IT positions as needed. This includes scheduling conference room space when needed.
  • Initiate and track necessary processes and approvals.
  • Manage the inventory of keys distributed to IT staff for access to buildings.
  • Issue and track temporary ID cards to IT staff, consultants and daily visitors. Arrange with HR to schedule staff and consultants for ID card pictures and orientation. Arrange with NYC and Albany Administration for security card access to OAG locations.
  • Manage spreadsheet and track due dates for employee Probationary Reports and Performance Evaluations. Send reminders to all IT Supervisors and Section Heads for compliance. Maintain master employee database.
  • Update SharePoint site for IT Administrative documents. Maintain IT Administrative Manual. Review, design and control all bureau forms, updating as necessary.
  • Manage IT Travel request approvals (iTar) and secure proper approvals, for any Conferences/Training for IT staff. Maintain and update training database. Report annually.
  • Receive, open, and distribute all incoming mail from USPS, UPS, Fed Ex. Send daily UPS package mailing from various IT staff, review/approve billing statement sent from Budget – maintain updates and renewals for Pitney Bowes and UPS machines.
  • Maintain office files, ensure all files are categorized, purged and/or stored.
  • Keep calendar and database for the Bureau Fleet vehicles and parking permits assigned to IT for ESP parking. Assign car and permits as requested. Schedule inspections and maintenance for fleet vehicles.
  • Advise building management of issues and follow up as necessary to be sure issues are resolved in a timely manner.
  • Monitor purchasing activity and maintain inventory.
  • Order and maintain inventory of office supplies.
  • Perform other duties as assigned.

OR Eligible for a lateral transfer or eligible for transfer under 70.1 of the Civil Service Law by having one year of permanent competitive service in an appropriate title.
