Job Description:

Alfred State College is currently seeking a motivated and reliable Office Assistant 2 (Calculations) to join our Procurement & Payment Services Office . This is a full-time position with hours of Monday through Friday, 8:30 AM – 4:30 PM during the academic year and 8:00 AM – 4:00 PM in the summer, offering a stable schedule and a supportive team environment. Position Overview As a key member of the Procurement & Payment Services Office, you’ll play an essential role in ensuring accurate and timely processing of payments and financial documentation across campus. This position combines technical precision with customer service, supporting faculty, staff, and vendors in financial transactions. Primary Responsibilities Process payment vouchers in both the NYS State Financial Management System and Pioneer Purchasing, ensuring accuracy and completeness Handle monthly payments for Travel and NET cards Process contract and Research Foundation payments Serve as a primary contact for vendor and campus inquiries related to Accounts Payable Assist with vendor onboarding and updates in financial systems, including SFS Vendor Portal support Provide excellent customer service by distributing forms, answering questions, and assisting with address or vendor changes Sort and date stamp incoming documents; accurately code purchase orders and invoices with UNSPSC and Sub-Object codes Manage vendor insurance documentation and maintain compliance records Assist with fiscal year-end procedures, including filing and shredding Coordinate the pickup and drop-off of travel and NET cards with campus personnel Verify travel voucher payments and ensure compliance with state regulations Provide cross-functional support to the Travel Coordinator, Procurement Specialist, and other areas within the Business Affairs department This is a great opportunity for someone who enjoys working with numbers, systems, and people. MINIMUM QUALIFICATIONS

One year of clerical experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.

PREFERRED QUALIFICATIONS
