Job Description Purpose of Position:
This class of positions encompasses clerical related office activities utilizing manual and automated office systems; duties may include supervision of employees performing routine tasks appropriate to each Assignment Level. All personnel perform related work.
Under supervision, with latitude for independent judgment, performs supervisory and/or moderately difficult clerical duties.
Examples of Typical Tasks:
At a higher level, performs the duties of
Assignment Level II:
1. Performs responsible clerical work in various administrative and operational areas by processing, recording, checking, and maintaining records; files and invoices using alphabetical and numerical procedures including data/control coding; furnishes information and prepares reports requiring the selection of data from simple records or statistics.
2. Performs ordinary mathematical computations.
3. Checks records for accuracy of information and for conformity with established policies and procedures.
4. Operates a telephone call directory, multi-line phone, or switchboard.
5. Performs clerical operations in an assigned area, such as the filing of materials and the searching of files for difficult to locate materials.
6. Performs data entry and retrieval using a personal computer, video display terminal, or other automated office systems.
7. Performs routine data processing functions in the area of production control.
8. May perform incidental typing.
9. May supervise and instruct a small group engaged in the performance of data entry and retrieval operations.
10. In the temporary absence of the supervisor, may perform his/her supervisory duties not in excess of 30 work days or 210 hours in a calendar year. In New York City Health + Hospitals in addition to performing the duties as described above, may also perform the following: Compiles and maintains central file of health care setting and clinic patient medical records; compiles medical care and census data for statistical reports, maintains indexes on patient, disease, operation and other categories.
In addition to performing the duties of Assignment Level II at a higher level, also performs the following typical tasks:
1. Supervises and instructs a small unit of group(s) engaged in clerical activities. 2. Plans, assigns, and reviews the work of subordinates, and is generally responsible for the satisfactory completion of the work performed in the unit or group(s). 3. Serves as principal assistant to a Supervisor of a large section or unit. 4. Performs moderately difficult and responsible clerical work in maintaining and checking various kinds of records. 5. Assists in preparing and arranging for services and activities in connection with receptions and other public functions. 6. Supervises the operation of one or more multiple switchboards. 7. Performs moderately difficult data entry and retrieval using a video display terminal or other automated office systems and/or supervises and instructs staff in such routine functions. 8. Performs responsible clerical work in areas such as personnel administration, payroll, accounts, budgeting, methods and organization, employee benefits administration, and other administrative and operational areas by processing, recording, checking, and maintaining records, furnishing information, and preparing reports. 9. In a shop or field setting, assists in the performance of administrative duties or performs difficult and responsible clerical tasks related to shop and field operations such as: receiving and transmitting radio and telephone messages; maintaining all time and personnel records of shop or field location; preparing other required shop or field reports; requisitioning supplies and maintaining shop inventory control of stock; typing and operating other automated office equipment. 10. May perform incidental typing using a standard office typewriter, word processing equipment or other automated office systems. In New York City Health + Hospitals in addition to performing the duties as described above, may also perform the following: May provide clerical support in health care setting patient care units; as directed by medical staff, prepares, compiles, maintains, files, and/or retrieves patient medical records; records diet instructions; requisitions supplies; answers telephones and relays messages to patients and medical staff; directs visitors to patient’s rooms, distributes mail, newspapers, etc., inventories patient’s personal effects and stores them following proper procedures. Minimum Qualifications 1. A high school diploma or its educational equivalent; and 2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities. An annual education differential if you currently possess an appropriate degree in nursing or an allied health discipline from an accredited college or university, as listed below:
- Bachelors in allied health discipline = $900
- Masters in allied health discipline = $1,200
- Bachelors of Science in Nursing (BSN) = $1,800
- Masters of Science in Nursing (MSN) = $2,000
- Doctorate in Education, Nursing Practice or PhD in Nursing (DNP) = $2,500 An annual certification differential if you currently hold appropriate certifications that are nationally recognized in the discipline or area of specialization for which you are employed, as listed below:
- Certifications in the following disciplines/areas of specialization are eligible for premium pay at $3,000:
- Certifications in the following disciplines/areas of specialization are eligible for premium pay at $2,000:
- All other nationally recognized certifications are eligible for regular pay at $1,878.
An annual certification differential ranging from $1,878 up to $4,878 if you currently hold appropriate certifications that are nationally recognized in the discipline or area of specialization for which you are employed. An annual nursing experience differential ranging from $987 up to $8,190 for up to 10 years of experience if you have outside nursing experience as a Staff Nurse.
