Position Summary:
We are seeking a highly organized, detail-oriented, and proactive Administrative Professional to provide high-level administrative support to Executive Management of a large Brownfield Development company. This role also includes key responsibilities supporting the operations of our rental property portfolio , requiring strong multitasking and communication skills.
Key Responsibilities:
Executive Administrative Support:
Maintain confidentiality of sensitive information and handle complex and confidential matters with discretion. Handle expense reports for Executive Management. Prepare, proofread, and edit correspondence, reports, presentations, and legal documents. Support executive meetings, including preparing agendas, taking meeting minutes, and tracking follow-ups. Support special projects for Finance & Accounting Departments. Act as Project Administrator on special field projects requiring assistance and support.
Rental Property Management Support:
Work closely with third party property managers for our portfolio of rental income and mixed-use assets. Maintain accurate files for all administrative aspect of real estate portfolio (taxes, insurance, regulatory filings and specialty regulatory licenses etc.). Serve as a point of contact for third party property managers for troubleshooting and planning purposes. Support compliance with local, state, and federal regulations related to property management and other specialty licenses.
Qualifications:
5+ years of experience in executive administrative support, preferably in real estate, legal, or finance environments. Experience or familiarity with rental property management is strongly preferred. Excellent verbal and written communication skills. High level of professionalism, discretion, and attention to detail. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines. Ability to work independently and as part of a team in a fast-paced environment.
