WHAT YOU’LL DO

The Housing Administrative and Intake Specialist will assist in the support and daily operations of the Housing department of JFSWNY assisting all housing related programs: including Refugee Services, Career Services, Health Home and Rapid Rehousing. They will complete any work that is supportive of these programs and within the scope of programs funded. The Housing Administrative and Intake Specialist will manage client intake and eligibility screening, maintaining accurate documentation and provide administrative support to case management and housing team. The ideal candidate will be detail-oriented, organized, and passionate about serving vulnerable populations. They will report to the Manager of Housing Department with support from the program managers.

RESPONSIBILITIES & DUTIES A

The duties and responsibilities of the position are to be carried out in a manner that is consistent with the mission, values, and operating principles of Jewish Family Services. Administrative Support Take on active role in moving data systems forward with Director of Data Management. Support Housing Manager with data and financial tracking systems development. Support Housing navigators and case managers by scheduling appointments, managing files, and preparing necessary documents. Serve as a liaison between housing, health home, career services, family support and refugee services teams to ensure seamless service delivery. Enter client data into tracking documents and databases as required and assigned by Housing manager. Maintain and order supplies for programs. Track financial expenditures in provided spreadsheets and reconcile with finance department. Review files for compliance. Attend agency and department meetings as required. Participate in trainings as required. Client Intake & Eligibility Assist Housing manager with conducting initial client screenings, needs assessments, and eligibility determinations across program areas. Collect, verify, and input client documentation in compliance with federal, state and program-specific guidelines. Coordinate referrals internally and externally to appropriate services and programs. Maintain up-to-date intake tracking logs and ensure timely data entry into systems such as but not limited to HMIS and Health Home database.

WHAT YOU’LL BRING
Education and Experience:

Minimum of an Associate’s degree in a human service related discipline or equivalent experience Experience providing direct services to vulnerable populations especially in regards to housing services Experience linking clients to a broad range of essential, community-based services

Knowledge, Skills & Abilities:

Ability to provide culturally sensitive case management. Proficient communication skills for interaction with clients and the public. Strong time management and organizational skills. Working knowledge of housing resources for vulnerable populations especially in regards to 1115 Waiver program, rapid rehousing, and health home programs. Strong computer skills, especially with Microsoft Outlook, Word, Excel and HMIS Familiarity with and appreciative of issues related to people with diverse cultures and languages. Bilingual or multilingual candidates strongly encouraged to apply.

WORKING CONDITIONS

Will work in the office and occasionally in the community as needed. Must have access to a reliable vehicle and possess a valid, clean driver’s license and be sufficiently self-insured. Flexible hours including days and some evenings, late nights, and weekends.

PHYSICAL REQUIREMENTS

Frequency of travel: Frequent travel is required for appointments, meetings, and trainings; locations may be across WNY. Physical activities and efforts required working in an office environment and the ability to move small furniture in preparation of an apartment. This may include making beds, arranging household items, and helping move client luggage. Visual acuity sufficient to maintain system of files and reports containing computer-generated and handwritten documents. Auditory acuity sufficient to communicate with staff and others by phone and in person. Mobility sufficient to conduct regular duties within a normal office environment.

WHAT WE OFFER

Competitive salary range of $22.00

  • 28.

00 per hour, commensurate with experience and qualifications. Benefits such as health insurance (Independent Health), accrued Paid Time Off (PTO) of 4+ weeks, 401k retirement plan with company match, and 13+ observed holidays. Reduced full-time work week of 35 hours and early close on Fridays. A supportive and collaborative work environment. Final compensation may vary based on factors including, but not limited to, background, knowledge, skills, and abilities.
