Description:
Manage and maintain the executive’s schedules and make travel arrangements.
Prepare invoices, reports, memos, letters, financial statements, and other documents.
Coordinate and direct office services, including records, finances, budget preparation, and personnel issues.
Answer the executive’s phone calls and take messages.
Prepare responses to correspondence containing routine office inquiries.
Open, sort, and distribute incoming correspondence and email.
Determine whether visitors should be given access to the executives personally.
Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
File and retrieve corporate documents, records, and reports.
Attend personnel meetings to record minutes and compile, transcribe, and distribute minutes of meetings.
Oversee payroll information and data.
Set up and oversee the office’s administrative and operating policies and procedures for employees.
Meet with business representatives, including contractors, insurance, and other representatives on behalf of the office.
Arrange for employee training by scheduling training; organize training material.
Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
