Position Summary:
To serve as the primary administrative support to the Chief Administrative Officer (CAO) and collaborate with departments and employees across the agency. Responsible for maintaining records, coordinating administrative tasks, and supporting the daily operation of the office. The role requires the ability to use independent judgment in managing workload, setting priorities, and interacting with staff and external parties with professionalism, tact, and discretion. May act as a backup to the reception area when needed and may assist with projects for the departments that report to the CAO. Essential Accountabilities Provide administrative support to the Chief Administrative Officer. Ensure the smooth and efficient daily operations of the CAO’s office. Conserve the CAO’s time by handling administrative requests such as document editing, presentation preparation, scheduling and preparing expenses. Take and produce accurate meeting minutes. Perform customer service functions by answering a multi-phone line system, routing calls, relaying messages, and greeting guests. Use initiative, confidentiality, and judgment in matters requiring immediate attention. Assist in planning and coordinating internal meetings, trainings, webinars, and events. Assist in special projects as assigned by the CAO or departments reporting to the CAO (QA/Compliance, HR/Learning and Development, Public Affairs and Engagement and Belonging). Provide coverage for the front desk assistant as needed. Always maintain confidentiality, especially when handling high-level, sensitive internal or external communications. Other duties as assigned. High School or Equivalency Diploma. 1-3 years of relevant experience as an Office Coordinator and/or HR Assistant Highly proficient in Microsoft Office products. Ability to interact with executive, management, TPA’s & vendors to ensure smooth office operations. Ability to communicate & present information clearly to executives, and management. Ability to multitask and meet deadlines in a fast-paced environment without oversight.
