Purpose of the Role The Development Administrator will provide critical administrative and operational support for National Theatre in America, playing an active role in supporting the team in its fundraising efforts and achieving its operational goals. This role will ensure the smooth running of the NT in America office in New York City by providing high quality and proactive day-to-day support. The ideal candidate will be a skilled administrator, who is exceptionally detail-oriented, adept at juggling multiple responsibilities, collaborative and highly organized. Duties and Responsibilities Key Responsibilities — Provide high-level organization and administrative support for NT in America Team travel and NT Executive Staff visits across both US and international trips, including booking transportation, accommodation and meeting venues, and working in collaboration with the NT Directors’ Office and Development teams both based in London. This may include creating appropriate itineraries, collating and printing briefing notes and other supporting documents or resources where needed. — Support the Executive Director with schedule management – coordinating meetings across multiple time zones with internal and external stakeholders, setting up Teams or Zoom calls, and rearranging meetings as needed in advance of any potential schedule conflicts. — Support the Chief Operating Officer and Senior Development Operations Manager to prepare for and coordinate meetings of the NT in America Board and Board Committees, such as preparing agendas, materials, and taking minutes for these meetings. — Assist with membership communications by building Wordfly e-mails and invitations, as well as maintaining the NT in America webpages with all relevant events, contact and supporter information. — Maintain broad and engaged understanding of NT in America’s mission and objectives (including the Stories Start Here campaign and related asks for support), with the ability to source materials and information from the NT Development Operations team or other sources in order to assist team members in drafting proposals, communications items, and other collateral. — Assist the team as required with event-related tasks, such as, ticket bookings, processing donations or payments in CRM database or online payment platform, and provide support as needed at fundraising and other related events. Office Management — Serve as first point of contact for the organization, answering incoming phone calls, monitoring voicemails and managing email correspondence for the central “NYOffice” inbox, ensuring everything is responded to appropriately and efficiently. — Provide appropriate logistical support including setting up guest passes, booking meeting rooms, ordering supplies and other coordination with our co-working office managers to ensure the efficient running of the office. — Coordinate team and other regular internal meetings, sharing agendas in advance and ensuring the timely delivery of minutes as required. — Work collaboratively with the Development Operations Assistant in the NT Development team in London to ensure that there is consistency of approach and information sharing across the departments. — Manage team information, both in our HR systems and holiday charts, the team calendar and organization charts, and keep track of team birthdays and other important dates, making sure to keep relevant NT Development and other NT colleagues apprised of any updates. — Maintain efficient filing systems and administrative procedures, coordinating with the NT Operations and NT Archive teams to participate in the designated document retention schedule each year. Expectations for all staff — Provide a friendly and knowledgeable public-facing demeanor when answering phones, greeting Board members, welcoming donors or prospects at events, or supporting members of the Executive team or other colleagues visiting from the NT. — When required, update databases and supporter information systems in line with Data Protection legislation and the NT and NT in America’s policy and procedures to ensure all records are up-to-date and accurate. — Carry out any other duties as requested by your line manager, and the ED and/or COO. — Undertake training deemed necessary by your line manager. — Participate actively in regular department and team meetings, contributing to discussions and decisions in a collaborative manner. — Take personal responsibility for keeping up to date with the work of the National Theatre. — A commitment to high standards of service delivery and customer care. — Willingness to work flexibly in approach to work and/or work time requirements. — Maintain absolute discretion and confidentiality in respect of all information to which you may be privy in your role. Person Specification This role will suit an individual with experience of schedule management, an excellent administrative skillset, and the ability to maintain and progress a number of concurrent tasks. They would preferably have a client services or executive assistant background, and although knowledge of the non-profit and/or arts sector would be welcome, we are interested in hearing from people in other sectors with transferable skill sets. The ability to think laterally, act resourcefully, and represent NT in America with integrity, passion, and good humour, is key. Ideally, candidates will have a few years of administrative experience, with a proven track record of similar responsibilities. Essential
- Exceptional administrative skills, with the ability to prioritize workload and plan ahead while also focusing on complex and strategic calendar and meetings scheduling management.
- A positive disposition, strong interpersonal skills and the ability to deal confidently with a wide range of internal and external contacts, including building and maintaining key relationships in a senior space.
- Skilled multi-tasker – both independently and within a team – with ability to adjust to varied deadlines and work quickly and accurately to tight deadlines.
- Experience in a dynamic, busy environment.
- Excellent written communication skills with meticulous attention to detail.
- Excellent computer skills including MS Word, Excel, PowerPoint, Teams, SharePoint, and CRM programs a plus.
- Ability to demonstrate initiative and be self-motivated.
- An understanding of the importance of confidentiality, along with the ability to display discretion when dealing with a range of sensitive information.
- The willingness to work on occasional workday evenings and very occasionally on a weekend where required.
There is a time off in lieu policy.
Terms and Conditions Contract Type :
This is a permanent, full-time position.
Hours :
5 days / 40 hours per week. Hybrid office schedule with occasional evening and weekend hours, both with notice, to fulfil the post’s requirements. Time off in lieu can be taken for these hours.
Salary :
The salary for this position is $55,000 per annum, paid bi-weekly.
Location:
600 Fifth Avenue, New York, NY 10020 (hybrid working).
Annual Leave:
15 days in the first year, increasing one day per year with length of service up to a maximum of 20 days.

Provided after 3 months in the position. Covered in full by NT in America including medical, dental, and vision. 401k: Provided after 3 months in the position – employees can opt to contribute up to 6% of basic pay, and NT in America will make a matching contribution.
