Full-Time, Hybrid Position Summary We are seeking an experienced and detail-oriented EPA and Art Collection Manager to provide expert art collection management and registrarial services alongside high-level administrative and personal support to a principal. This multifaceted role requires discretion, excellent organizational skills, and a proactive approach to managing valuable assets and the principal’s professional and personal needs. The ideal candidate will be adept at handling complex logistics related to acquisitions, loans, insurance, and documentation, while also supporting executive operations and household management. Key Responsibilities Collection Management & Registrarial Services Enter acquired artwork details into Artlogic, including invoices, proof of payment, high-resolution images, and condition reports. Assign sequential inventory numbers and update purchase records accurately. Maintain and research provenance records to ensure completeness and accuracy. Track and update loan agreements; ensure proper documentation and compliance prior to artwork release. Maintain and update loan tracker in Artlogic, coordinating artwork movements. Obtain and file certificates of insurance for all outgoing loans. Coordinate condition reports using Articheck for outgoing, incoming, and museum-received artworks. Manage installation images and file appropriately. Update insurance spreadsheets quarterly, aligning values with current market assessments. Maintain records of artwork appraisals and related documentation. Ensure accurate record-keeping of shipping, handling invoices, proof of payments, and receipts. Administrative & Executive Support Manage complex calendars, coordinate appointments, and schedule meetings across multiple time zones. Organize and maintain digital and physical files with utmost confidentiality. Serve as liaison between principals, vendors, clients, and internal teams. Handle email correspondence, draft communications, and manage phone inquiries professionally. Coordinate domestic and international travel, including itinerary preparation and logistics. Support board communications and commitments, ensuring principals are well-prepared for meetings and events. Manage artist residency programs including development, artist support, and logistics coordination. Prepare reports, presentations, and executive summaries as needed. Provide daily reminders for principals’ schedules and commitments. Personal Assistance & Household Management Oversee household operations, including vendor coordination and maintenance scheduling. Assist with personal errands, shopping, event planning, and event support. Maintain inventory of personal and household items to ensure timely replenishment. Manage property-related projects such as renovations and interior design coordination. Qualifications Proven experience in art collection management, registrarial duties, or related fields. Proficiency with Artlogic and Articheck software a plus. Exceptional organizational skills and meticulous attention to detail. Ability to maintain confidentiality and exercise discretion. Excellent communication and interpersonal skills. Experience managing complex calendars and coordinating travel logistics. Flexibility to support personal and professional needs of high-net-worth individuals. Ability to multitask and manage competing priorities efficiently.
Schedule:
Hybrid in New York City with some travel required
Compensation:
110k-140k DOE, W2, Health Stipend, PTO, Discretionary Bonus
