SUMMARY:
The Labor Relations team is looking for a Labor Analyst (Labor Coordinator) to provide administrative support. In this role, the incumbent ensures the smooth and efficient operation of the department by assisting with various daily tasks and special projects. The Labor Analyst (Labor Coordinator) , provides support to the Labor Relations team, handling a range of administrative and data-focused tasks. Responsibilities will include maintaining detailed records of contract interpretations and disciplinary grievances, generating Disciplinary Action Notifications for discipline cases, preparing hearing calendars, ensuring all parties are notified of hearing dates, and handling correspondence on behalf of the Labor Relations leadership team. A significant part of this role involves data collection, analysis, and reporting for leadership, running queries, and generating charts and reports on grievances, discipline, and other labor relations functions. This role is ideal for a highly organized, detail-oriented, and data-driven professional who thrives on providing essential administrative support to a dynamic team.
RESPONSIBILITIES
+ Provides comprehensive administrative and clerical support to the Office of Labor Relations, including data entry into labor relations and personnel management systems for the timely processing of discipline and grievance cases, and scheduling grievance hearings. + Coordinates meetings with internal and external stakeholders at the request of senior staff. + Manages and updates various Labor Relations databases, assisting with collecting, tracking, storing, and retrieving data related to grievance cases, contract administration, and labor research. + Reviews and maintains monthly reports to reflect departmental progress and measure actual results. + Generate reports, charts, and presentations for senior management and broader distribution, using data to highlight key trends. + Ensures accurate and timely completion of system documentation and recordkeeping for the discipline and grievance database, adhering to MTA policies, procedures, and contractual requirements. + Prepares requisitions and receipts for office supplies using computer applications like PeopleSoft. Implements and supports system modifications to the PeopleSoft Labor Relations module, ensuring data accuracy and assisting with user training and adherence to application standards. + Manages IT requests for office equipment repairs, maintenance, and HVAC services through the IAMS Portal and ServiceNow. + Manages and oversees updates to the Labor Relations intranet page. + Performs all other duties essential to the Labor Relations Department’s overall goals and objectives, including special projects.
KNOWLEDGE, SKILLS, AND ABILITIES
+ Proficient in Microsoft Suite, Outlook, and PeopleSoft. + Possesses strong analytical, problem-solving, and time management skills. + Demonstrates meticulous attention to detail. + Excellent organizational skills with the ability to prioritize and manage multiple tasks effectively. + Adept at document control and record retention. + Proactive and creative, capable of accomplishing tasks with minimal supervision. + Experienced in running queries (PeopleSoft), creating and editing reports.
EDUCATION AND EXPERIENCE
REQUIRED + A Bachelor’s degree in a related field (e.g., Business Administration, Human Resources, Labor Relations, Computer Science) or a n equivalent combination of education and experience may be considered in lieu of a degree. + Minimum of 3 years of full-time professional experience in an administrative or coordinator role, preferably within human resources, labor relations, or a legal environment. + At least 1 year of experience collecting, evaluating, and utilizing data from administrative systems to generate queries. Preferred + Knowledge of PeopleSoft or other human resources related programs. Ability to retrieve, store, generate, and distribute data via PeopleSoft or a similar system. + Experience with data collection, analysis, and report generation. + Familiarity with the various collective bargaining units at the MTA. Other Information May need to work outside of normal work hours (i.e., evenings and weekends) Travel may be required to other MTA locations or other external sites.
