About the Role ECBM is looking for an Office Services Associate to join our team. This person will maintain the office mailroom, maintain the office supplies and stock, agencyemployee licensing administration, work with Office Services staff to maintain the efficiency and profitability of ECBM. Responsibilities Handles overall mail, including incoming, outgoing, inner office, overnights and faxes appropriately, through pickups, delivery, sorting, opening, date stamping, and postage metering. Assists with workflow of mailroom and projects overall scanning, copying, binding, and printing projects as assigned. Inventory Management and Instacart Ordering
- Orders, opens and stocks all office supplies, including kitchen supplies and stocking 4 conference rooms. Licensing Support
- pulling files for agency and employee license renewals 45 days in advance, checking Sircon for CE status, sending emails to employees with renewal instructions and educational options. Updating Access database with renewed license information. Maintaining both paper and electronic files for all agency and employee licenses. Birthday cards distribution to employees
- addressing cards, getting Exec.
Management Signatures, mailing, distributing gift cards, keeping supplies on hand. Email birthday and anniversary announcements for employees following the calendar list. Back-up for MVR ordering; FedEx/UPS labels, help with Receptionist relief for lunches, breaks and vacations, back-up for other Office Services Associate during vacations or illnesses Twice annually schedule file maintenance for off-site delivery. This includes boxing and sending files off site, retrieving and destroying boxes as necessary and maintaining lists and logins. Handles other projects and requirements assigned by Management. Maintains effective working relationships with employees and vendors. Pursues personal development program. Qualifications HS Diploma, GED or Equivalent Good computercommunication skills Excellent organizational and prioritizing abilities Good self-discipline and motivation
