Construction Administrative Assistant Habitat for Humanity of Greater Newburgh 125 Washington Street, Newburgh, NY 12550 Construction Administrative Assistant The Construction Administration Assistant is responsible for performing duties to assist the Construction Department on various construction projects. The position requires some experience in a technical environment with a strong background in computer applications and document management.

Pay:
$26.66-$30.77 per hour Job Tasks Provide administrative support to ensure efficient operation of Habitat for Humanity of Greater Newburgh’s Construction Department Schedule and coordinate contracted construction services Correspond on routine inquiries with subcontractors and vendors at the beginning and throughout the duration of a project Call and email sub‐contractors/prime contractors for the solicitation of proposals and bids for work in each division Liaison between Habitat Newburgh leadership and vendors/subcontractors to obtain on-site progress Prepare construction documents as needed, including permit and zoning board applications Set up and maintain project contact lists and email groups File and organize electronic and paper files Set up meetings for Project Leaders Obtain project information Coordinate jobsite purchases and rentals Collaborate with team members to submit and obtain permits at local building departments Manages construction invoices in coordination with the Finance Department Coordinate ongoing projects with the Construction Department Support the administrative functions of construction projects Keep all construction licenses current Perform general clerical tasks such as correspondence/billing, filing, photocopying and scanning documents Maintain electronic and hard copy filing system for all jobs Assist in the preparation of regularly scheduled reports Exhibit polite and professional communication via phone and email Adhere to affiliate safety practices and uphold a safe working environment Required Skills and Experience 2 plus years of administration experience, construction administration experience preferred Experience working with various governmental agencies Knowledge of lead and asbestos regulations is helpful Well-developed communication and organizational skills Possess multi-tasking skills Ability to identify and drive objectives Work effectively both individually and in a team environment Demonstrate excellent organizational and follow-through skills Attention to detail Excellent judgment Habitat for Humanity of Greater Newburgh shall not discriminate against any employee or applicant for employment because of race, creed (religion), color, sex, national origin, sexual orientation, military status, age, disability, predisposing genetic characteristic, marital status, or domestic violence victim status.
