Job Description
Secretary/Treasurer Orleans County Soil and Water Conservation District 446 West Avenue, Albion, NY 14411 Job Overview Performs a variety of duties related to clerical and bookkeeping activities of the District and assists the District Manager with earned income and educational activities. Is the Secretary/Treasurer to the Board of Directors of the Orleans County SWCD. Acts as the receptionist through telephone and personal contact with the public. Sorts incoming mail and routes to the appropriate person. Responsible for all bookkeeping duties and reports. Prepares monthly reports and provides to the Board of Directors. Attends monthly Board of Directors meetings. Assists in the implementation of the tiered Agriculture Environmental Management program. Assists with educational programs, field work, and grant writing as directed by the District Manager. Responsibilities Acts as the receptionist through telephone and personal contact with the public and refers individuals to the proper SWCD or NRCS person. This includes taking proper messages. Sorts incoming bills and correspondence and routes to the appropriate person. Filing all SWCD correspondence and bills, to include Cooperator and Non-Cooperator files and financial records and reports. Responsible for all bookkeeping duties and reports to include: Bank Deposits, withdrawals, and transfers, Reconciliation of monthly bank statements, Entry of receipts and disbursements in QuickBooks in accordance with the appropriate uniform system of accounts procedures, Writing checks for bills in QuickBooks, Keeping accurate records of District income and expenses, Balancing bank accounts monthly to correlate with the monthly bank statements, Preparing the year end financial report in accordance with Audit and Control instructions and filing with the proper authorities.
SWCD Monthly Meetings:
Send meeting notices prior to meeting, Record, type, and file meeting minutes and distribute as appropriate, Prepare, distribute, and file financial reports. Prepare and distribute Agenda, assemble correspondence for meeting. Assist in the implementation of the tiered Agriculture Environmental Management (AEM) program: interview farmers for initial assessments, update farm information, and create plans, prepare GIS maps for farms. Assist with Educational programs, field work, and grant writing as directed by District Manager.
