Visit to learn more. Braata Productions is seeking an exceptionally well-organized and detail-oriented Administrative Assistant with a passion for the cultural arts, education, and youth development. This position provides exposure to multiple facets of nonprofit management and fundraising work. This is a full-time-equivalent, non-exempt position, local to the greater New York area. The Administrative Assistant will provide direct support to the Executive Director of a non-profit organization. The main responsibilities of the job include but are not limited to assisting with day-to-day and internal operations, general office support, event support, and database management.

JOB DUTIES AND RESPONSIBILITIES

Provide general program support to the staff and Executive Director, including but not limited to scheduling, site visits, front of house management, ticketing, manual set-up and break-down, merchandise management, and other logistical support. Prepare and modify documents including correspondence, reports, drafts, memos and emails. Complete tasks and projects as needed by the Executive and Artistic Director related to programming, contracting, scheduling, funding, and HR Onboard personnel and maintain personnel records and files, including artists, staff, contractors, Board, and interns. Plan/organize in-house events and meetings Prepare reimbursements, and check requests Manage intern and volunteer intake from sourcing to supervision. Collect and manage organization data using established processes. Manage organizational/team calendar Maintain an electronic (and paper when necessary) filing system of correspondence, contracts, projects, budgets, templates, and other administrative paperwork Schedule, attend, and take notes for meetings relevant to the work of the Executive and Artistic Director, and schedule follow up meetings and/or set and implement action items. Attend work-related workshops by facilitators outside of the organization, and report back to the Executive Director and team when necessary. Conduct research into new opportunities, programming, business relationships, policies, and procedures when applicable and provide executive summaries of said research. Suggest and implement processes to help streamline workflows Oversee various funding processes Maintain organization storage and manage inventory Other administrative/office tasks

THE IDEAL CANDIDATE WILL MEET THE FOLLOWING REQUIREMENTS

Minimum 2-year college degree and 1+ years’ experience in an office environment, not-for-profit and/or arts organization preferred Excellent communication, planning, organizational and multitasking abilities. Ability to multitask in a fast-paced environment Self-starter comfortable prioritizing multiple projects and duties under minimal supervision Proficiency in Airtable, Google Suite, Monday, and Slack. Box Office experience a plus Excellent phone etiquette and customer service skills a must Ability to maintain strict confidentiality and handle sensitive information with integrity and discretion Driver’s license/access to a vehicle a plus This position is a full-time position with benefits and will require some evening and weekend availability.
