Job Summary:
FLACRA is looking for a detail-oriented, organized, and highly motivatedOutpatient Lead Administrative Assistantto support the daily operations of our outpatient clinic. As the go-to support for the Clinic Director and clinic team, you’ll oversee administrative functions that ensure smooth scheduling, accurate data management, and seamless client check-ins. You’ll also play a key leadership role by mentoring and guiding other administrative team members.
Must-Have Qualifications:
+ High School Diploma or GED equivalent. + At least 2 years of experience in clerical, administrative, or office management roles + Ability to type at least 55 words per minute + Proficient in Microsoft Word and Excel + Valid NYS Driver’s License + Strong written and verbal communication skills + Excellent organizational and multitasking abilities
Nice-to-Have Qualifications:
+ Associate’s Degree or higher in a related field. + Experience in a healthcare or behavioral health setting + Familiarity with electronic health records, such as 10e11 + Prior experience with OASAS regulations or insurance navigation + Supervisory or lead administrative experience
Job Requirements:
Key Responsibilities:
+ Provide high-level administrative support to the Clinic Director and clinic staff + Oversee daily clinic operations including scheduling, check-ins, phone reception, and calendar coordination + Welcome clients, complete check-in procedures, update demographic information, verify insurance, and collect co-pays + Maintain accurate and timely data entry in 10e11 for client records, billing, and scheduling + Manage and update the Proactive Spreadsheet and Agenda for weekly MDT meetings + Generate and submit productivity, engagement, service delivery, and audit reports + Run and reconcile daily progress note reports + Complete training to become a certified NYS Health Insurance Navigator and assist clients with enrollment + Submit prior authorizations and follow up with insurance providers as needed + Ensure accurate group attendance and appointment reconciliation daily + Assist with and delegate tasks to the admin team to meet deadlines and report requirements + Train new admin staff and support ongoing team development + Maintain

form database and other compliance documentation + Prepare meeting minutes, correspondence, and organize clinic files + Monitor and reorder program supplies (urine screens, breathalyzers, NRT, etc.) + Support the Clinic Director with special projects, policy updates, and general operations + Cultivate positive relationships with provider agencies, referral sources, and community partners + Participate in team meetings, in-service trainings, and agency-wide events + Perform other duties as assigned
