Job Description:

We are seeking a highly organized and detail-oriented Administrative Assistant with strong Excel skills and an excellent background in filing systems. This position also plays a key support role in Business Development, including proposal preparation, CRM tracking, and coordination of marketing activities. The ideal candidate will have at least 10 years of Administrative experience, and outstanding written and verbal communication skills.

Key Responsibilities:

Provide day-to-day administrative support to office staff and leadership. Develop and maintain both digital and physical filing systems. Perform data entry, analysis, and reporting using advanced Microsoft Excel functions (e.g., pivot tables, VLOOKUP, formulas). Prepare, edit, and proofread documents, correspondence, and reports. Handle phone calls, emails, meeting coordination, travel arrangements, and general office duties. Ensure all deliverables meet company branding, formatting, and quality standards. Maintain Business Development calendars, track RFPs/RFQs, and help manage deadlines and deliverables. Support internal CRM and tracking tools to update contact records, proposal files, and opportunity pipelines. Draft and send follow-up emails, client introductions, and general communications. Support logistics for conferences, industry events, and internal/external presentations. Contribute to content creation for the firm’s website and social media, as needed.

Qualifications:

High school diploma or equivalent (required). 10+ years of administrative experience in a professional setting. Advanced proficiency in Microsoft Excel and other Office tools. Strong understanding of file and document management systems. Wonderful verbal and written communication skills. Strong organizational skills with the ability to manage multiple priorities and deadlines. Team-oriented with a proactive and flexible approach to support cross-functional needs.

Compensation & Benefits:

$55,000K Yr. depending on experience.
