Administrative Assistant Job Description The Administrative Assistant will provide professional support to all staff, fulfilling a partial reception role that includes answering and directing telephone calls, delivering messages, greeting employees and visitors, and distributing visitor building access cards. Responsibilities also include scheduling conference calls, managing incoming and outgoing mail, coordinating catering for meetings, maintaining conference rooms and kitchen areas, updating office inventory supplies, and coordinating with local building management. Additional support will be provided as needed to other operational functions such as accounting, marketing, and human resources. Responsibilities Type, revise, and compile materials such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough drafts or corrected copies. Proofread and edit documents for grammar, spelling, punctuation, and formatting. Complete word processing and database administration tasks including letters, memos, reports, shipping labels, and excel spreadsheets. Provide travel arrangements and miscellaneous engineering staff support tasks or administrative projects as needed. Essential Skills Strong administrative support and data entry skills. Proficiency in Microsoft Office, including Word, Outlook, and Excel. Ability to manage calendars and provide front desk support. Strong grammar and proofreading ability. Excellent computer skills, including Excel data entry and office support. Additional Skills & Qualifications High School diploma or equivalent; AS or BS preferred. 1-3 years of relevant experience in a professional office environment. Excellent verbal and written communication skills, including grammar, punctuation, proofreading, and spelling. Flexibility and ability to prioritize multiple tasks in a fast-paced environment. Self-motivated, well-organized, detail-oriented, reliable, and punctual. Ability to handle confidential information. Prior administrative experience with a civil engineering consultant or architectural design firm preferred. Work Environment The role operates in an office setting, Monday through Friday, with negotiable start times of 7-4, 8-5, or 9-6. The office is located downtown and the position will assist the Transportation Team.
