Job Overview We are seeking a detail-oriented and organized Project Administrator to join our team. The ideal candidate will play a crucial role in supporting project management activities, ensuring that all administrative tasks are handled efficiently. This position requires strong communication skills, proficiency in various software applications, and the ability to multitask effectively in a fast-paced environment. Responsibilities Receives calls and customer emails; professionally processes the inquiry, directs the caller to the appropriate representative, or takes a message for a later return call Manage and maintain project documentation, ensuring all files are organized and easily accessible. Assist with data entry tasks, ensuring accuracy and timeliness of information. Support financial tracking by utilizing QuickBooks for invoicing and expense management. Act as a personal assistant to project managers, scheduling meetings, and coordinating logistics. Manage scheduling for auditors, crews, and subcontractors Verifies accurate work hours for payroll then forwards to the accountant for processing paychecks Provide clerical support including typing reports, creating presentations, and preparing meeting agendas. Maintains employee and client files; ensuring all needed documents are collected, securely stored and confidently upheld according to applicable laws Monitor project timelines and deliverables, providing updates as necessary. Requirements Associates degree or equivalent required; or 2-years minimum experience in a professional office setting. Proficiency in using office software Microsoft Business 365, Salesforce, Google Workspace and QuickBooks. Strong data entry skills with attention to detail – Intermediate Excel skillset. Familiarity with phone systems and effective communication practices. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Ability to work independently as well as part of a team. Strong typing skills with a focus on accuracy and efficiency. Must be able to speak and understand the English language in a proficient manner in order to carry out essential job duties Must possess good communication and interpersonal skills Must possess good time management and organization skills Must be able to multi-task between data systems, spreadsheets, and incoming calls Must possess the ability to maintain confidentiality regarding to customer information Must possess the technical knowledge to operate a computer and other office equipment at an intermediate to advanced skill level Previous experience as a personal assistant or in a clerical role is a plus.
