Classification Non-Exempt Reports to Human Resources Manager Primary Contacts ELRC staff, clients, child care providers, general public Job summary The ELRC Administrative Assistant works under the direct supervision of the Human Resources Manager to provide administrative and staff support to overall operation of the ELRC functions. This position will serve as a floater within both CCC offices for ELRC Regions 9 & 10 (Lemoyne and York offices) based upon the needs within both regions. This is an in office position. The ELRC Administrative Assistant holds and demonstrates a strong belief in the mission and vision of the ERLC and the Community Connections for Children programs. Summary of essential job functions Provides regular and back-up services to the Receptionist positions. Provides back-up services to the Resource & Referral Specialists as needed. Completes the mailing process of redeterminations and missing information letters. Maintains supply of folders, DHS and ELRC forms, voter registration, CHIP, WIC, EITC materials and IRS flyers. Inventory office supplies and create monthly office supply orders as needed with supervisor approval. Maintains and creates enrollment packets, new application packets. Takes minutes at the Subsidy Staff meetings and maintains electronic file of meeting minutes. Attends and participates in agency and Subsidy staff meetings and appropriate training opportunities. Collect and report VRMA statistics monthly. Collect and report postage meter and printer tally totals monthly.
Assists with CCW mailings:
tracking and PELICAN comments as necessary. Responds to program questions from clients at walk in, phone calls, and electronic inquiries. Maintains and updates lobby and enrollment room informational boards. Maintains appropriate documentation in
PELICAN CCW
database and other spreadsheets, as necessary. Attends and participates in agency and ELRC staff meeting and appropriate training opportunities. Represents the ELRC and Community Connections for Children at community visibility events. Promotes and supports the mission, values and goals of Community Connections for Children. Maintains high performance standards. Additional tasks as assigned when needed. Core competencies Ability to communicate effectively and work productively with a diverse population of internal and external clients. Ability to perform a variety of duties and responsibilities as requested. Ability to prioritize work effectively and appropriately among competing demands. Ability to take initiative and independently plan, organize, and complete assigned work correctly and professionally within specified time frames. Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure. Understanding confidentiality requirements and ability to maintain a high level of confidentiality in all working relationships. Ability to interpret and apply DHS regulations. Ability to maintain complete and accurate files and records. Proficient computer skills in word processing and spreadsheets (MS Office preferred). Minimum qualifications and experience High School Diploma or GED; some college preferred. Two years office administrative support Physical requirements Normal physical demands associated with work in an office environment, including lifting, bending, and carrying. Work schedule
Rotation Schedule:
Weeks 1, 2, 3: 40+ hours/week Mon. – Fri. Week 4: 30+ hours/week Mon. – Thurs.
