Role:
We are seeking a proactive, highly organized, and tech-savvy Personal Assistant to support the CEO of a portfolio of fast-growing IT companies and a growing real estate rental business. This dynamic role requires someone who can seamlessly navigate between tech business support and light property management duties. You’ll be the CEO’s right hand—streamlining day-to-day operations, keeping projects on track, and ensuring both business and real estate tasks are running smoothly.
Key Responsibilities:
Executive & Operational Support (Tech Sector):
- Manage the CEO’s calendar across multiple companies and industries
- Coordinate meetings, appointments, and multi-city travel logistics
- Prepare meeting agendas, take notes, and follow up on key action items
- Draft and manage communications on behalf of the CEO
- Support special projects, track deliverables, and assist with strategic planning
- Help create reports, slide decks, and research briefs for tech ventures
- Coordinate with various IT teams, contractors, and executive staff
- Assist with daily scanning & filing of documents and expense receipts Real Estate Support (Rental Portfolio):
- Liaise with property managers, contractors, and service providers
- Maintain a record of rental payments & expenses in QuickBooks
- Manage rental agreements and property documents
- Track key property-related deadlines (e.
g., utility bills, insurance, inspections, settlement)
Personal & Lifestyle Assistance:
- Assist with personal travel, appointments, and events
- Handle occasional personal errands and household vendor coordination
- Maintain confidentiality with all personal and professional matters
Technology & Tools:
- Comfortable with platforms like Teams, Excel, Trello, Zoom, and Laserfiche
- Experience using property management tools or rental platforms is a plus (Airbnb, VRBO, etc)
- Experience with QuickBooks Online is a plus
Required Skills/Qualities:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives (preferably in tech/IT/Small Business)
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Experience working in startups or fast-paced tech environments
- Understanding of the IT industry, including software development, cloud, cybersecurity, or digital services
- Understanding of the real estate industry, including Airbnb rentals, market listings, escrow or mortgages
- Able to manage multiple priorities under pressure
- Discreet, reliable, and trustworthy
- Able to prioritize requests from multiple departments, companies, and vendors, and to proactively follow up until tasks are completed
