Reference #: 4553RK&K is seeking an Administrative Assistant to work from our Harrisburg PAoffice. In this role, you will support our Construction Management Group leaders with various contract administration and management tasks for multiple clients and on-call contracts. As needed, the individual may also support the team with limited communications and administrative needs. Come join our team of professionals.
This is a part-time, in-office position, with the potential to become full-time. Limited weekend work may be required.
Essential FunctionsComplete contract related client forms for staffing approvals, work order changes, subconsultant changes, etc.
Monitor the process for invoice production (by others) and track invoices through RK&K development and client review, approval, and paymentDirect staff as needed to complete progress reports for inclusion in RK&K invoicesCollect and review subcontractor invoices for inclusion in RK&K invoicesEnter new projects and tasks into accounting system (Deltek) as required by the Project ManagerEnter and update budgets for new and existing projects and tasks in DeltekFollow up on outstanding information pertaining to the setup of new projects and tasksCollect, scan and save all contracts, modifications, supplements, Notice to Proceeds, etc., for all active projectsManage time and expense reportingCollect and update subcontracts and Certificates of Insurance for subcontractorsRequired Education and ExperienceA minimum of three (3) years experience in contract support and administrative assistanceExperience with document management related to contracts, etc.
Strong computer skills with an emphasis on Excel, Word and OutlookStrong verbal and written communication skillsDetail oriented, able to keep multiple activities organized digitally, and willing to work collaboratively with othersAbility to work independently and to demonstrate good problem-solving skills is a mustGeneral understanding of various types of government contracts and working knowledge of overhead rates is a plusPreferred Skills and ExperienceDeltek Vision experienceBasic understanding of contracts and accountingPrevious experience with PennDot and PA TurnpikeOther DutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
