ESSENTIAL FUNCTIONS, PRIMARY RESPONSIBILITIES AND OBJECTIVES

The Administrative Assistant to Student Engagement and Public Safety provides service-oriented, efficient, and student-focused support in the operations of all offices included in the Student Engagement and Public Safety.

ESSENTIAL FUNCTIONS

Manage all office operations, including maintaining organized and accurate office files, answering the telephone, preparing correspondence, scheduling meetings and appointments, processing mail, ordering office supplies, training and supervising work-study students, etc. Serve as a dispatch answering incoming phone calls and direct to appropriate staff – which can be emergencies or non-emergencies. Manage and regularly monitor all budgets under the Student Engagement and Public Safety umbrella, ensuring that requisitions and purchase orders are placed in a timely manner.
Provide administrative support to the Associate VP of Student Engagement and director of Public Safety.
Organize the scheduling of departmental and institutional training programs, college and community events, along with fleet management/parking. Assist with mandated Clery and Title IX reporting procedures and compiling data for the Annual Security Report. Additionally assist in gathering, compiling and analyzing student outcomes data relevant to the department.
Assist in programming and development of student activities, including graduation and orientations.
Support directors and shift leads in communication, physical security and task completion related to end of shift and incident reports both internally and with external departments. Create and manage calendars for officer specific training, licensing and certification/expirations.
The ability to retrieve and save camera footage to provide to outside agencies as needed.
Assist staff in mailings to students and maintain database of contacts and mailings. Order office supplies, uniforms and equipment for the department as well as keeping all required vendor licenses and memberships current Maintain database information on student registrations for data analysis and record management. Generate photo ID cards for students, faculty and staff. Assist in the organization of ongoing policies and procedures for the Student Engagement and Public Safety Departments.
Key liaison for student engagement initiatives including safety related events, crime prevention seminars and law enforcement programs. All other duties and responsibilities as assigned.

Demonstrated mastery in use of data base programs.
Competency in the use of Word, Access, Excel, as well as internal administrative system (for example Jenzabar).

EDUCATION

Associate degree required.

EXPERIENCE

Previous office management experience preferred.
Prior experience working with students and/or customer support.
